Summary of Position:
The Store License Coordinator will be responsible for timely renewal of various licenses for every store location in our portfolio, for mailing licenses to each location to be posted in a timely manner and to maintain accurate records of upcoming and already processed renewals.
Principal Duties and Responsibilities:
Responsible for processing renewal applications for all required state, city county and health licenses/permits in a timely manner to avoid costly fines, penalties or store closures.
Utilize our accounts payable software to create voucher/check requests to be mailed with the renewal applications.
Utilize our web-based data management program to export/import scanned images, keep notes, and monitor past due/upcoming renewal dates.
Contact made with issuing authorities for missing bills or licenses.
Receive and sort department mail making sure each coordinator receives the renewals and licenses for their assigned states.
Use Microsoft Excel to process uploads of large quantities of renewals at one time.
Copy, scan, index and import all documents (invoices and licenses) for precise record keeping.
Upon receipt of the license(s) from the issuing authority, mail the current license to the store for timely display.
Minimum Requirements/Qualifications:
High school graduate or GED equivalent.
Ability to handle multiple priorities in a fast-paced environment.
Minimum required typing speed of 45 wpm.
Extensive experience in word-processing, spreadsheet, and web-based software applications.
Strong business writing skills, [efficient] effective communication and interpersonal skills are a must.
Excellent phone skills and solid clerical skills.
Must be a motivated self-starter with the ability to work independently and within a team.
Must possess a high degree of organizational skills with the ability to effectively prioritize multiple renewals, with multiple due dates/deadlines.
Must have the ability to recognize the need for action and quickly arrive at accurate decisions.
Desired Qualifications:
Experience in city or government finance.
Property tax or tax billing.
Accounts receivable/payable.
