  Overview

  The individual will, over time, become a jack of many trades due to the opportunity to be trained and exposed to multiple areas within the accounting and finance operation. An upbeat outgoing individual with a passion and desire to learn and grow is the type of individual we seek to add to this existing dynamic team. The job responsibilities listed below are vast and are intended to provide a broad overview of not what is expected daily but more over time the areas we intend to train and expose the individual to in order to be able to fill in within certain areas as needs arrive.   Responsibilities

  Revenue Audit

  Daily processing of resort wide revenue to include country club.

  Role often requires researching and putting together what we refer to as the daily “puzzle”.

  Communication / interaction with hotel departments on an ongoing basis is necessary when needing key information to complete the revenue audit task.

  Work with Assistant Director of Finance (ADOF) and Director of Finance (DOF) at Month End to close out the month and provide financials to management company as well as hotel owner.

  Hotel receivables -- incoming transient billing inquires & or group too!

  Receive, research and respond in a timely to all incoming hotel guest billing inquiries via incoming phone calls as well as the website where hotel guests can make inquiries.

  Address frequent issues impacting guest folios with FO Manager and staff.

  Document and track in order to have fact based information when presenting to FD Manager, DOF and GM.

  Hotel guest chargebacks

  Receive, research & respond in a timely manner to all incoming bank chargeback inquires.

  Monitor and manage response back to bank inquiry and keep ongoing tracking sheet by month with details on dates and email communication back to the bank (credit card companies).

  Surface frequent re-occurring issues for improvement / resolution to FO Manager and document communications to have a historical audit trail.

  Misc:

  Assist General Cashier counting all cashier banks each month

  Assist with monthly inventory spot checks and verifications at Month End

  Flexible schedule (days of the week) and weekends when required when month end falls over WE dates. This will happened several times throughout the year.

  Weekly tracking and monitoring of all Credit Card terminals, vending machines, ATM etc.

  Month End assistance with coordination of inventory verifications by the accounting department which may entail weekends, based on month end dates throughout the year.

  Projects - these will surface and be assigned from time to time.

  All other duties that may be assigned with an expectation the individual has a passion to continue to learn, develop and be a contributing team player for the WLP Accounting and Finance department.

  Accounts Payable exposure Work with existing AP Staff Accountant to assist with ongoing and frequent processing needs (W-9’s, invoice entry, statement research etc.)

  File organization as needed

  La Paloma Country Club receivables to include:

  This position “owns” the country club and is the key representative to the Troon staff and the over 700 club members.

  Monthly billing, collection and communication to members

  Interactions with Country Club staff (Brendon, Rob, David, Natasha, Valerie and Lori)

  Post / balance/ upload daily member charges while working closely with Revenue Auditor

  Monitor the club member accounts throughout the month (over 700) to ensure by month end here are not any balances over 60 days old.

  Manage and research club member billing inquiries and then respond back timely.

  Prepare, schedule and manage the monthly Country Club credit meeting when necessary

  Qualifications

  Experience, Skills and Experience

  Bachelor’s Degree in Accounting preferred.

  Accounting and Hotel experience preferred.

  Strong and pleasant phone demeanor – comes naturally

  Strong organizational skills with attention to detail.

  Ability to compile facts and figures.

  Ability to operate personal computer and calculator.

  Ability to maintain a professional demeanor even during high volume demanding times

  Command of the English language both written and verbal.
