  Job Description

  Job Summary:

  At Site Work Specialists, Inc., this position will prepare, process, and maintain the company books and some administrative work. The position’s skill set is continuously increasing by working with an exceptional team that prides itself on doing some of the finest work on projects in our specialty.

  Salary:Depends on experience

  Wage $20.00 - $24.00

  Hourly pay

  Paid weekly via direct deposit

  Essential Functions:

  Processing and paying subcontract invoicing in accounts payable

  Complete vendor onboarding and maintain the integrity of vendor files and documents, such as W-9’s, to ensure compliant, complete, and accurate information

  Handling vendor correspondence via phone or email

  Resolve internal and external invoice and payment inquiries or issues, including communicating the resolution of discrepancies to the appropriate persons

  Assist with annual tax filing Form 1099s and other projects as assigned

  Providing administrative support for, but not limited to, greeting customers, electronic filing, and answering the main phone lines

  Creating accounts receivable invoices on AIA and unit based format invoices monthly

  Creating subcontracts in AIA software

  Set up new jobs and add cost budgets

  Some cross training in bid documents

  Education Requirements:

  High school diploma or equivalent

  Job Requirements and Qualifications

  Must be able to pass a pre-employment drug/alcohol screening and random employee pool drug/alcohol testing

  Minimum of three years experience in bookkeeping role

  Have a solid understanding of basic bookkeeping including accounts payable, accounts receivable and payroll

  Experience using Foundation Software is helpful but not required

  Proficiency in Microsoft Office products, specifically Excel and Outlook

  Able to work independently, cross-functionally, and collaboratively

  Possess strong analytical and problem-solving skills

  Highly organized and detail-oriented

  Excellent verbal and written communication and interpersonal skills

  Ability to work well under pressure in a fast-paced, deadline-driven environment

  Display a positive attitude towards the company, fellow employees, and customers

  Be responsible for working unsupervised and completing work as directed

  Values collaboration and contributing to the shared goals and success of the team and company

  Assist with all tasks; even it is below your skill level

  Physical Requirements

  Understand, remember, apply oral and written instructions or other information, and communicate routine factual information

  Apply common sense in performing job functions, usually within a set of rules or guidelines

  While performing the duties of this job, the employee continuously accesses, inputs, and retrieves electronic information and communicates regarding the information

  Mostly sedentary work, but can frequently move about the office space

  Operate standard office equipment, including computers and similar equipment

  Capable of regular, reliable, and timely attendance

  Specific lifting abilities required by this job include sedentary work, exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or continuously to lift, carry, push, pull, or sit most of the time

  Routinely perform work indoors in a climate-controlled shared work area with a moderate noise level
