General Summary of Position
The Senior Residency Training/Continuing Education Coordinator coordinates and provides program support to the Director, Physical Medicine &Rehabilitation (PM&R) Residency Training Program, Associate Designated Institutional Official, and Continuing Education Program.
Primary Duties and ResponsibilitiesDevelops department goals, objectives, policies, and procedures. Ensures compliance with business unit policies and procedures and governmental and accreditation regulations. Reviews and updates policies on an annual basis.Develops and recommends department operating budget and manages resources according to approved budget.Orients and trains department staff. Maintains ongoing communication with subordinates to review programs, provide feedback, discuss new developments, and exchange information.Responds to all resident applicant requests and establishes and maintains resident applicant files and checks for completion.Provides information, support, and problem-solving on a wide range of medical education training and program issues.Handles visa documents and paperwork for international medical graduates.Maintains accurate and current data in the central Graduate Medical Education database, NewInnovations. Responsible for entry of rotation schedules to ensure an accurate FTE count for CMS reporting.Coordinates resident interviews and responds to questions regarding the residency training program and rotations at other institutions.Maintains rosters of resident lectures.Coordinates outside rotations and resident electives in conjunction with the Director of the Program.Completes residency program paperwork which includes but is not limited to loan deferment applications/letters, reference letters for residents, elective agreements, annual resident contracts, membership applications for the AAPM&R/ACRM, and registration for local and national meetings.Coordinates and schedules MNRH Basic Life Support and Advanced Cardiac Support courses for residents and maintains a system for the renewal of the same.Tracks resident DEA numbers. Tracks resident leave time and prepares management leave/time report for the signature of the Program Director.Maintains confidentiality and security of all resident files and hospital-related medical staff-related and patient-related data and information.Receives resident/attending rotation evaluations and maintains a system of tracking.Assists the Program Director with the monitoring of the annual American Board of PM&R Self- Assessment Examination. Aids in the development and auditing of program materials. Monitors compliance with all applicable requirements.Assists the Program Director with communication with external agencies and the preparation for external reviews, including ACGME and AOA (American Osteopathic Association). Ensures compliance with accreditation standards, including program approval process. Assists the Program Director in developing needed programs to meet accreditation standards.Participates in meetings and on committees and represents the department and business unit in community outreach efforts. Provides administrative support for weekly hospital/graduate continuing medical education program.Participates in multidisciplinary quality and service improvement teams and maintains effective working relationships with other departments.
Minimum Qualifications
Education
Bachelor's degree in Health Administration, Education, required or related field, required or an equivalent combination of education required and related experience. required
Experience
3-4 years Administrative experience with two (2) years' experience in a healthcare environment preferred and Equivalent combination of education and experience will be considered. required
Knowledge, Skills, and Abilities
Excellent problem-solving skills and ability to exercise independent judgment. Business acumen and leadership skills.Excellent verbal and written communication skills with ability to effectively interact with all levels of management, internal departments, and external agencies.Ability to handle multiple tasks and competing priorities simultaneously.Working knowledge of various computer software applications.
