About Senior Administrative Assistant - Corporate Development & Planning

  Eaton’s Corporate Sector division is currently seeking a Senior Administrative Assistant - Corporate Development & Planning. This position is based in Beachwood, OH and will require to be on site 5 days a week.

  What you’ll do:

  Provide value-added administrative support to the Sr. Vice President, Corporate Development & Planning, utilizing previous experience, strong problem-solving ability, balanced judgement, communication skills, sensitivity and discretion. Additionally, will collaborate and support all department employees with his/her daily calendars, travel, day-to-day activities, along with all administrative requests. This includes collaboration and support for the SVP's functional teams as well.

  Responsibilities include scheduling all meetings / appointments, maintain constantly changing calendars; some of which involve executive-level attendees or outside professionals. Organize travel, correspondence, presentations, meeting coordination and logistics, invoice processing, and all day-to-day activities. Requires being highly flexible and proactive in order to address changing priorities, meetings and tight deadlines, as well as the ability to work independently, having minimal supervision and sometimes limited direction, and can be assertive when needed. There is also continual access to highly confidential information that has a significant impact on the organization. Confidentiality is a must.

  Assist the SVP by anticipating his/her and the departments needs with various tasks throughout the year. Schedule and organize internal and external meetings, lunches, dinners, and other events. Create travel arrangements and expedite expense reports. Assist the team in preparation of Eaton’s scheduled Board of Directors meetings, and other SLC meetings scheduled throughout the year.

  Support the CD&P team with maintaining calendars scheduling monthly and annual meetings, and handling changes that will occur with diplomacy. Provide important SLC calendar dates and information on current members and their assistants for planning purposes. Maintain banker listings for calls / meetings as scheduled.

  Assist Hiring Managers with recruiting, setting up all calls / interviews, and travel logistics. Administrator for the M&A software Midaxo, which tracks all projects, including acquisitions, divestitures, and strategic investments. Create projects with input from CD/BD teams. Maintain CD&P mailbox daily – respond and direct corresponding emails, and incoming calls.

  Administrator for the CD&P SharePoint site, and communicating changes / additions as needed.

  Track all monthly department costs with Finance to review monthly reports, general ledger listings, and making appropriate forecast changes. Responsible for annual Profit Planning process, which includes input from both India and Economics teams within CD&P. Process annual invoices for services, and negotiate contracts with the help of SCM when needed.

  Coordinate and maintain all office supplies for the department to ensure consistent inventory.

  This position requires one to maintain a high degree of flexibility to accommodate the high volume, fast-paced work environment.

  Qualifications:

  Associate's degree from an accredited institution.

  5 years providing executive support.

  Working proficiency with MS Office.

  Excellent phone and email communication skills.

  Skills:

  Strong written and verbal communication skills.

  Proven ability to build and maintain strong relationships with clients, stakeholders, and team members.

  Highly self-motivated with the ability to work independently and take initiative.

  Strong attention to detail with the ability to identify and correct errors and inconsistencies.
