Job Summary
Manages Clinical Section(s) and works closely with respective facultyand staff within the Department of Psychiatry & Behavioral Neuroscience,ensuring efficient and effective operations throughout. Plans,organizes, directs and controls activities that support the clinicalmission with alignment and educational and research missions. Providesadministrative and financial leadership in formulating and implementingdepartment clinical objectives aligned with organizational anddepartmental goals. Oversees day-to-day operations of clinical arenaworkflows and problem resolution. In this role, the Clinical SectionAdministrator will be responsible and accountable for over-seeing theoperations and patient care duties of the Psychiatry & BehavioralNeuroscience department with an emphasis on outpatient operations. TheClinical Section Administrator will perform duties as an administrativeofficer for the department including planning, coordinating, anddirecting broad and complex financial and management functions insupport of clinical care, education, and research under the supervisionof the Executive Administrator and in collaboration UChicago MedicineDirector and Practice Manager. In the absence of the ExecutiveAdministrator the Clinical Section Administrator assumes responsibilityfor the clinical operations.
Responsibilities
Strategy Development and Execution:
Develops tactics to support and implement the Department\'slong-term strategic goals and operating plan including programdevelopment and provider recruitment and retention.Participates in identifying priorities, determining metrics, andremoving barriers for the strategic plan implementation.Participates in and completes various institutional surveyinitiatives.Maintains, monitors, and reports on plan progress and metrics.Assesses and aligns provider capacity and access with strategic planand recommends incremental provider and support staff staffingplans.Negotiates and implements related agreements.Clinical Practice Management:
Works collaboratively with leadership of UCM and BSD to ensuresmooth and efficient clinical operations which include but are notlimited to ambulatory, offsite and joint ventures and appropriateclinical program strategic growth supporting UCM\'s mission and itspatients.Serve as primary clinical liaison developing Clinical PracticeGuidelines and supporting the department Clinical Mission. Implementa structure for ongoing measurement and improvement of clinicaloperations with departmental leaders.Collaborate to evolve use digital tools as part of the patientexperience and clinical care model.Educate and collaborate with faculty, physician billing offices, andUCM to identify chargeable professional fees ensures the integrityof billing data, monitor accuracy of professional fee reports, andassesses the effectiveness of billing efforts.Maintains programs to review and analyze clinical performance at thefaculty member and staff provider levels. Communicates withproviders clinical expectations policies and procedures.Manage general practice administration including: establishingFaculty and staff provider staffing, develops, approves, andmonitors schedules for providers, eligibility verification, billing,resolving patient issues, ensuring compliance with regulatory andreporting requirements.Assist the Executive Administrator, UCM Director, and PracticeManager with recommending and determining appropriate strategicgoals that relate to the department and the overall Clinicalmission. Contribute to the development and implementation ofprograms to fulfill these goals as appropriate.Financial Responsibilities and Oversight:
Plans with Section(s) and Department leadership for optimal financialperformance of the Section(s); develops annual and ad hoc budgets andother analyses, for example: regularly monitors status and ensuresperformance against budget, identifies need, analyzes and presents adhoc reports and graphs; ensures professional billing financial integrityand compliance; approves and monitors expenses; identifies andimplements cost containment measures; and ensures compliance with fiscalpolicies and procedures.
Provides fiduciary leadership at departmental level in overseeingfinancial operations development of the clinical mission, includingtaking a lead role in providing short- and long-term financialforecasting, operational budgeting, revenue generation, and expensemanagement.
Understands and oversees the implementation of program budgets,identifying undesirable trends with improvement recommendations
