JOB OVERVIEWESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIESMINIMUM QUALIFICATIONSPHYSICAL DEMANDS AND WORKING CONDITIONS*PREFERENCE WILL BE GIVEN TO CURRENT ELIGIBLE SARPY COUNTY EMPLOYEES*
GENERAL PURPOSEUnder the general supervision of the Administrative Office Manager or designee, performs a variety of semi-skilled administrative work preparing juvenile case documentation and files requiring moderate responsibility and independent judgment.
ESSENTIAL FUNCTIONSPerform administrative support for the Public Defender staff.Prepare all documentation for cases referred to the Public Defender's office as assigned.Ensure information (e.g., letters, motions, police reports, etc.) is entered or scanned in system in a timely and accurate manner.Forward relevant information to other agencies.Schedule meetings for clients to meet with assigned attorney.Answer calls in a professional and courteous manner, schedule appointments, and take and deliver messages.Type briefs for attorneys, ensuring format conforms to established guidelines.Prepare and file brief extensions, motions and appeals as directed, ensuring proper signatures and seals are present.Establish and maintain filing systems, both computer based and physical documents.Transcribe dictation as assigned.Establish and maintain effective working relationships with supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies, clients, and the general public.Report to assigned worksite with regular, predictable, and consistent attendance.
Peripheral DutiesServe as a member of various committees as assigned.Perform other duties as directed and assigned.
REQUIRED MINIMUM QUALIFICATIONSEducation and Experience:High school diploma or GED required.Two (2) years of work experience in an administrative, clerical or secretarial position required.Legal secretary experience preferred.Must be able to type 50 net words per minute (nwpm).Necessary Knowledge, Skills and Abilities:Working knowledge of computers and software/data processing programs including, but not limited to, WordPerfect, Microsoft Office SuiteKnowledge of the Criminal Justice legal systemKnowledge of legal terminologyWell-developed communication skillsAbility to work independently and make sound decisionsAbility to manage and maintain confidential and sensitive informationAbility to prioritize and complete projects within deadlinesAbility to perform tasks with attention to detail and a high degree of accuracyAbility to work under pressure and/or frequent interruptionsAbility to navigate stressful situations while maintaining composureAbility to understand and follow exacting verbal and written instructionsAbility to communicate effectively, in English, both verbally and in writingAbility to operate equipment including, but not limited to, multi-line phone, computer, typewriter; copy machine, printer, scanner, 10-key calculator, transcriber, and fax machine

While performing the duties of this job, the employee is frequently required to sit/remain stationary, talk, and hear (i.e. communicate / exchange information), and operate/manipulate equipment (e.g. use hands to finger, handle, or feel objects, tools, or controls). The employee is occasionally required to walk/move about, stand (i.e. remain upright), stoop, bend, climb, kneel (i.e. position self), and reach.The employee must occasionally lift and/or move up to 20 pounds.
Required sensory abilities include vision and hearing. Visual abilities, correctable to normal ranges, include close and color vision as well as the ability to adjust focus. Communication abilities include the ability to talk (verbal exchange / exchange information) and hear (exchange information accurately) within normal ranges. Incumbent must be able to exert sustained concentration for several hours at a time.
Work is performed indoors in an office setting. Work may be fast-paced when dealing with multiple clients, priorities, and time constraints. The noise level is typically quiet to moderate.
