Job Function:
This is a senior level secretarial position responsible for performing various confidential administrative and complex secretarial tasks to allow an administrator to execute more substantive duties. The use of a personal computer for word processing and database entry is an integral part of this position. The employee is required to exercise independent judgment in solving office management problems and act in behalf of the administrator in accomplishing administrative business. This title differs from the Secretary II title by virtue of its administrative focus that involves planning, research, interpretive, and higher level of decision-making responsibilities, with flexibility allowed for attending to administrative duties and in referring or responding to inquiries. Direct supervision may be exercised over a clerical staff. Does related work as required.
Examples of Duties & Responsibilities:
Administrative Support (50%)
Welcome and greet all internal and external guests and callers and direct them to the proper person or department;Provide daily administrative tasks for the office, including calendar management, meeting scheduling, conference room scheduling, collating meeting materials, and preparation and logistics for meetings and events;Provide administrative support for special projects and project-related tasks, including database management, research and document management, correspondence, and travel coordination;Maintain office inventory: organizing, cleaning, restocking, and ordering office supplies monthly;
Event Planning and Special Project Assistance (30%)
Support the Office of the President's event planning and coordination activities, including logistical coordination, invitation and attendee management, and catering selection;Assist the President in their responsibilities related to service on external boards, commissions, councils, task groups, and associations, including, but not limited to, research and analysis, travel coordination, meeting preparation and briefings, liaising with external points of contact, and managing follow-up needs and activities;
Data Management and Analysis (20%)
Maintain accurate and up-to-date databases and records for various office functions, including organizing and managing data related to various constituencies, projects, and, stakeholders.Support the efficient financial operations of the office by assisting in monitoring, tracking, reconciling, and generating reports of the Office of the President budgets (Office of the President, regional accreditation Scholars Day, etc.) and provide regular updates to relevant stakeholders as requested.MCC Expectations:

Required Qualifications:
Must currently hold the civil service title of Secretary I or be on the current eligible list OR meet the following minimum qualifications to be eligible for a provisional appointment, if offered:MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER:(A) Four (4) years of paid full-time or its part-time equivalent office secretarial experience, two (2) years of which shall have been at a senior* secretarial level; OR,(B) Graduation with a diploma or certificate from a school of business or business institute with a major in Secretarial Science, Word Processing, or related area, plus three (3) years of experience as defined in (A) above, two (2) years of which shall have been at a senior* secretarial level; OR,(C) Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in Secretarial Science or related area, plus two (2) years of experience as defined in (A) above, one (1) year of which shall have been at a senior* secretarial level; OR,(D) Graduation from a school of business or business institute with an Associate's degree in Secretarial Science, plus two (2) years of experience as defined in (A) above, one (1) year of which must have been at a senior* secretarial level; OR,(E) An equivalent combination of education and experience as defined by the limits of (A), (B) (C) and (D) above*Senior secretarial level experience is defined as duties that include, but are not limited to, composing original correspondence, leading or supervising other staff, proof reading material for sense, independently answering routine correspondence.
NOTE: College level training in fields other than Secretarial Science may be substituted for one (1) year only of the required general experience.

Bilingual and able to read, write, and speak Spanish, or other languages, proficiently

Hours: Monday - Friday, 8:45am to 4:45pm
Salary: $46,452.80 step increment at 6 months
