  Job Summary

  The Sales Coordinator is responsible for the Special Occasions program, servicing the administrative needs of the sales department, and developing creative content for the Private Events program. The Coordinator will be expected to interact professionally with the sales team while executing daily responsibilities as well as with external clients while assisting with site visits and the Special Occasions program. This position is expected to meet deadlines, execute tasks with a positive mindset, and enhance the department's impact in the event community.

  Essential Functions

  Book Special Occasions by responding to leads, creating estimates, and generating agreements for weddings, birthday parties, and celebrations while cultivating relationships with clients and providing feedback to enhance the program.

  Input and manage event related information such as leads, contacts, and event bookings into the Ungerboeck CRM system.

  Respond to and route sales related emails, voicemails, and phone calls in a timely manner with attention to detail and professionalism.

  Creatively build and maintain an inventory of unique gifts for purposes of holiday gifting, thank you gifts, and site visit gifts

  Attend sales meetings to record updates and action steps; submit recaps and agendas for follow up meetings.

  Assist with site visits by inputting guest names into security, ensuring smooth arrivals, preparing gift bags, and monitoring site route to ensure smooth and efficient site visits for the sales team.

  Conduct site tours and create estimates under the direction of the sales team.

  Grow the Allegiant Stadium Private Events LinkedIn page by generating creative posts that result in a positive reputation of the program and engagement with event planners and industry colleagues.

  Provide administrative support for the sales team including ordering supplies and materials, assisting with staff travel arrangements, general office administration and various clerical support.

  Attend private and public events to support the team as needed with activities including, but not limited to, client management and administrative duties.

  Travel to trade shows to support the sales team with managing trade show booth, taking appointments, and creating relationships with new and existing clientele.

  Required Qualifications (Job Knowledge, Skills, and Education):

  A minimum education level of: High School Diploma or its equivalency (BA/BS Degree Preferred)

  2 - 4 years of event related work experience preferred

  Ability to multi-task and prioritize work assignments in a fast-paced environment

  Ability to work cooperatively and professionally with other departments

  Proficient in account management database systems and ability to learn required business systems

  Excellent Customer Service Skills

  Be proficient with Microsoft Excel and Outlook

  Clear, concise written and verbal communication skills

  Highly motivated, with a positive attitude

  Detail oriented and ability to work independently
