  What we are looking for:

  The Safety Administrative Assistant at Aldridge Electric, Inc. (AE) will provide a broad range of highly skilled and confidential administrative support to the Corporate Safety Department, as well as supporting the Regional Safety Managers, and other team members as requested.

  What you’ll do:

  Duties including:

  Maintaining an accurate and detailed calendar for the Corporate Safety Department, manages, and logs incoming scheduling requests, proactively communicates changes, anticipates, and responds to scheduling conflicts, and reschedules meetings as needed.

  Coordinating with various departments and assisting with drafting presentations that are submitted to executive leadership, customers, and the Board of Directors; ensures materials are proofread, completed, organized, and reviewed by relevant parties.

  Organizing internal and external meetings, including logistical and substantive preparation which includes, but is not limited to, preparation of agendas and schedules, maintaining and distributing minutes and other records.

  Act as a systems administrator for both internal and external safety platforms.

  Managing all travel scheduling and arrangements for the Corporate Safety Department.

  Drafting reports, memos, letters, and other documents using relevant computer applications (Microsoft Office, Google Suite, Visio, etc.) on behalf of the Corporate Safety Department.

  Performing work under minimal supervision and handling complex issues and problems, referring only the most complex issues to higher-level staff.

  Ensuring consistent and efficient interaction with other Administrators across the organization; demonstrates poise and tact under pressure and handles matters with sound judgment and respect for confidentiality.

  Tracking and reconciling monthly credit card statements and completing/submitting expense reports in a timely manner for the Corporate Safety Department.

  Performing special projects and completing other duties as assigned or requested.

  Clearly communicates department deadlines to Operations management.

  Applying initiative, creativity, logic, and technology to develop and implement approved office projects/initiatives.

  Serving as primary contact for the Corporate Safety Department and providing directives.

  Providing special project leadership and support, including conducting preliminary research for a variety of important issues.

  Providing administrative support to operations personnel.

  Preparing and updating charts and presentations for use at internal/external meetings.

  Tracking tasks and projects to ensure appropriate prioritization with respect to deadlines and organizational developments.

  Maintaining open lines of communication between all office locations.

  Who you are:

  Self-starter who can work independently while supporting the needs of the Corporate Safety Department.

  Excellent communication skills (both written and verbal).

  Strong customer service mentality.

  Maintains confidentiality of sensitive information

  Possesses comprehensive knowledge of subject matter.

  Effective time management and organizational skills

  Collaborative mindset and strong interpersonal skills

  Must be able to multitask.

  Independent problem solver

  Demonstrable critical thinking, communication, and relationship building skills.

  Takes initiative to learn.

  Ability to work under pressure in a fast paced, deadline driven environment with a high degree of accuracy.

  Skillful execution of administrative activities, with high attention to detail and organization

  Advanced skills in Google Suite, Microsoft Word, Excel, PowerPoint
