Summary
The UM Electric Vehicle Center (EVC) brings researchers, educators and industry together to advance the technology and train the talent needed to realize the EV future in Michigan and beyond. With a $130M investment from the state, the EVC builds on more than a century of U-M leadership in transportation and mobility. Initial focus areas include technology/research & development, education/workforce development and improved/expanded facilities.
The EVC is looking for an experienced and self-motivated Research Administrator to perform tasks related to sponsored pre- and post-award activity, recharge activity and overall accounting maintenance and financial reporting for the Center and its Core Research Units. The EVC Research Administrator will report to the Business Administrator and work across different departments within the College of Engineering and, at times, the University to accomplish tasks. Responsibilities*
35% Post-Award Activity
Reconcile account activity for sponsored research accounts and all other funds, identifying errors and initiate corrective actions to include journal entries.
Process requests for research projects such as no-cost time extensions, subcontracts to other institutions, setting up internal sub accounts and revised budgets.
Support and initiate purchasing activity for the EVC.
Ensure compliance with sponsor and U-M expenditure policies.
Track budgeted effort for personnel and salary distribution changes.
Assist with reporting requirements for sponsored research grants.
Assist with project closeout actions (such as uniform guidance review and financial status reports). Ensure all personnel appointments and direct bill expenses are stopped for that specific closeout.
Use Business Objects and other reporting tools for analysis.
35% Pre-Award Activity
Use the University's electronic research administration system to initiate proposal approval forms (PAFs) and unfunded agreements (UFAs).
Prepare sponsored research proposals to include preparing project budgets and budget justifications, coordinating and compiling proposals, ensuring compliance with sponsor guidelines and requirements, coordinating proposal requirements with internal and external participants, interaction with the Office of Research and Sponsored Projects(ORSP), and proposal submission through the various sponsor systems (such as NSF Research.gov, Grants.gov, etc.) in conjunction with ORSP.
Prepare and maintain Current and Pending file for the Director of the EVC in SciENcv.
20% Battery Lab Support
Manage the administrative tasks associated with billing internal and external customers for the Battery Lab recharge.
Submit UFAs and PAFs for companies wishing to work with the Battery Lab.
Process customer number requests with the Shared Services Center (SSC).
Support and initiate purchasing activity for the Battery Lab.
Track and maintain spreadsheet/Google file for Battery Lab safety certificates for lab users. Review spreadsheet against CCURE access reports to verify that all users of the lab have lab safety certificates on file.
10% Other Responsibilities
Run reports for internal controls; identify and assist in resolving compliance related issues.
Assist with requests for data regarding the EVC and its core units.
Other duties as assigned.
Required Qualifications*
Bachelor's degree or equivalent combination of education and work experience
3+ years of relevant research administration (preparation of sponsored research proposals, including project budget preparation and post award management).
3+ years of relevant financial management experience (such as purchasing, reimbursement processing, and processing invoices for payment)
A substantial amount of experience and high level of proficiency, speed and accuracy with Excel and Business Objects.
Must be able to communicate effectively and follow written and verbal instructions, working with a very diverse group of colleagues, faculty, staff, students and visitors.
Demonstrated analytical and organizational skills, including high level of accuracy and attention to detail while exercising good judgment.
Must be able to set priorities, exercise initiative, work simultaneously on numerous projects and meet/negotiate deadlines.
Desired Qualifications*
4-6 years of experience in research administration and financial management.
Experience with the University's systems: OPS, Concur, PeoplePay, MPathways Financial and Physical Resources system, Marketsite, eResearch and MReports.
Experience with electronic proposal submission via NSF Research.gov, Grants.gov and DoE EERE Exchange system.
Knowledge of University policies and procedures, including policies related to research administration, procurement and financial reporting.
PEERRS Training.
Certified Research Administrator (CRA).
Work Schedule
The EVC operates in a hybrid work environment consisting of both in-person and remote work. This position will be classified as a Flex position within the Michigan Engineering STARR classification matrix which means working on campus 2 days per week and working remotely the rest of the week. Candidates who are not currently employed at the College of Engineering may be eligible for up to a $1,500 sign-on bonus. College of Engineering candidates for whom this position represents a promotional opportunity may be eligible for up to a $1,500 sign-on bonus.
