Robert Half is recruiting for a receptionist to work with one of our clients in the Reno, NV area. This role is working for a fast paced professional front office.
Greeting and Welcoming Visitors: Receptionists are often the first point of contact for anyone entering the office. They greet visitors, clients, and employees with a friendly and professional demeanor.
Answering and Directing Calls: Receptionists manage incoming phone calls, routing them to the appropriate individuals or departments. They may also take messages and provide basic information to callers.
Handling Mail and Packages: Sorting and distributing mail and packages is a common task for receptionists. They may also be responsible for coordinating courier services.
Scheduling Appointments: Receptionists often manage appointment schedules for executives or other staff members. This includes scheduling meetings and conference rooms.
Maintaining Front Desk Area: Keeping the front desk area neat and organized is essential. Receptionists may also be responsible for ordering and maintaining office supplies.
Providing Information: Receptionists may assist visitors or callers by providing general information about the company, such as office hours, location, and basic services.
Data Entry: Some receptionists are tasked with entering data into spreadsheets or databases, especially related to visitor logs, appointments, or other administrative tasks.
Assisting with Administrative Tasks: Depending on the organization, receptionists may be asked to provide administrative support, such as filing documents, photocopying, or handling basic office tasks.
Handling Inquiries: Receptionists may need to handle inquiries from the public or employees, either in person, over the phone, or via email.
Maintaining Security: Receptionists often play a role in maintaining the security of the office by monitoring and controlling access to the premises.
Requirements
Education: A high school diploma or equivalent is typically required. Some employers may prefer candidates with additional education or training in office administration or a related field.
Communication Skills: Strong verbal and written communication skills are essential for effectively interacting with visitors, clients, and colleagues.
Customer Service: Receptionists should have excellent customer service skills, being friendly, approachable, and able to handle inquiries and concerns with professionalism.
Organizational Skills: The ability to multitask, prioritize, and stay organized is crucial for managing various responsibilities such as phone calls, appointments, and office supplies.
Computer Skills: Proficiency in basic computer applications such as word processing, email, and spreadsheet software is often required. Knowledge of office equipment like printers and scanners may also be necessary.
