The Alaka`ina Foundation Family of Companies (FOCs) has a need for Public Affairs Communications and Meeting Coordinator to support our government customer located in Oahu, HI.
Work sites/locations include on-site support at NCTF-RH offices, Joint Base Pearl Harbor Hickam, nearby venues, and Honolulu offices. Periodic meetings shall occur throughout Oahu. There is no anticipated travel outside of Oahu.
Normal business workdays are Monday through Friday during normal business hours, however, after hours support may be required at times. Facilitation, Training, CRI and Consent Order Public Meetings may occur outside of normal working hours.
DESCRIPTION OF RESPONSIBILITIES:
Provide/ensure logistic support for meeting room spaces to accommodate monthly meetings.
Reserve and arrange meeting rooms capable of holding a minimum of 35 and up to 200 attendees on regular and varying frequencies to be freely publicly accessible, with suitable free parking to accommodate attendees.
Prior to streaming meetings, coordinate meeting public viewing access with various stakeholders to include government personnel and public broadcasters. coordinate.
Provide support for three (3) audio/visual equipment stations, and four (4) posters stations per meeting.
Coordinate audio visual support be provided in concert with video recording capability in order to provide projection/microphone/sound amplification suitable for all attendees to clearly see and hear meeting proceedings.
Coordinate microphone coverage suitable to address the CRI members (10 individuals) and two additional subject matter presenter seats.
Provide logistics support to obtain and coordinate meeting spaces for Public meetings that are held once per quarter (January, April, July, and October). Meeting format will be as a ‘town hall’ with poster displays/small group interaction stations. Coordinate and obtain public meeting spaces at a minimum 30 calendar days prior to each public meeting to ensure coordination between CRI members and NCTF-RH. Meetings may occur outside of normal working hours.
REQUIRED DEGREE/EDUCATION/CERTIFICATION:
Bachelors degree or certification in related discipline to include event planning, hospitality management, etc.
Experience may be substituted for education/certifications.
REQUIRED SKILLS AND EXPERIENCE:
Three (3) or more years of event planning experience for similar sized events and frequencies, including all logistics, video services, and agreement negotiations
Knowledge of Oahu area event venues and services
Experience in Hawaiian culture preferred.
REQUIRED CITIZENSHIP AND CLEARANCE:
Must be a U.S. Citizen
Must have at a minimum a favorable National Agency Check (NAC).
