ZGF is hiring a Project Administrator in Portland, Oregon office. This person is expected to provide on-site support at our PDX Airport project five days a week through the duration of the project, with the option of transferring to the Portland office once the project concludes. We are seeking a driven individual who is a reliable, resourceful, proven administrative professional, preferably within the Architecture/ Engineering/ Construction (AEC) industry, who possesses excellent organization skills to join our dynamic Portland administrative team.
As a Project Administrator, you will:
Initiate, prepare and manage, in collaboration with Project Managers, project-related documents and processes for all architectural phases.
Initiate and drive the contract administration process.
Prepare project presentations, reports, meeting notes and other deliverables.
Manage project print deadlines, consultant coordination, and project directories.
Support project teams with scheduling, meeting logistics and travel arrangements.
Manage project materials and files in both digital and physical platforms.
Lead and train teams in establishing and following project file procedures per established standards.
Serve as a resource to architecture project teams and other Project Administrators regarding best practices, office guidelines and project procedures.
Provide coverage for administrative team member absences as needed.
Qualifications:
Minimum of a bachelor’s degree required.
Minimum of 4 years of project administrator experience in the Architecture, Construction or Engineering industry or relevant professional support positions in fast-paced industries.
Advanced command of Microsoft Office Suite (including Teams, SharePoint, OneDrive).
Proficiency preferred in Bluebeam, Newforma, Deltek Vision, AIA Contracts, InDesign.
Excellent organizational skills and attention to detail required.
Excellent interpersonal skills and demonstrated ability to communicate and interact effectively with all levels of personnel.
Ability to juggle multiple tasks, work efficiently under multiple deadlines and maintain confidentiality.
Must possess a collaborative, team-oriented attitude, strong work ethic, creative problem-solving skills.
