GS Project AdministratorThe Project Administrator is responsible for managing all facets of a project's administrative duties including vendor payables, customer billings/receivables, field resource and customer communication when necessary. This individual must display a high degree of professionalism, organization, multi-tasking and cooperation with customers, sales, and internal personnel.Duties/Responsibilities, Core knowledge:Set up and maintain all project documentsCoordinate work with key team members (Construction Managers, Project Managers/Superintendents, Tech Supervisors, Customers, Management, and Sales Reps)Receive and validate order information as enteredEnsure project documents/ file integrity.Issue subcontractor agreements/purchase ordersCreate equipment records, service orders and dispatch internal resources as neededValidate, release and track material ordersProcess new vendor setups and ensure document accuracy.Process contractor/vendor payables and monitor payables beyond 30 daysProject submittal trackingMonitor project budget, financial analysis, and reportingCreate and monitor daily, weekly, and monthly reportsEnsure all information is complete and accurate to the best of our knowledgeCollect, validate, and file project field reportsTrack and validate number of days worked versus planned daysTrack and validate expenses on project versus planTrack and validate job statusCollect, validate, and process outside vendor expensesTrack and validate expenses on project versus planForward outside vendor invoices to accounting for payment within metricsCollect, validate, and file prevailing wagePrepare, validate and submit customer invoicesCalculate internal book pricing versus proposal pricingVerify accurate commission pricingVerify accurate billing agent feesProject review and close outEnsure expected costs are received and processedEnsure final inspections are received and accurate if applicableSkills, Qualifications, Experience, Special Physical Requirements:Knowledge of Construction AccountingKnowledge of Sarbanes-Oxley (compliance regulations for publicly traded companies)Knowledge of State Prevailing Wage, Davis Bacon and SCA wagesStrong analytical and problem-solving abilitiesProficient in Microsoft Office Suite (Outlook, Excel, Word) and AccountingMust be extremely organized, accurate, possess high level of attention to detail and be able to perform successfully under pressure and in a timely mannerQualified applicants will receive consideration for employment without regard to their race, color, religion, national origin, sex, sexual orientation, gender identity, protected veteran status or disability.Qualified applicants will receive consideration for employment without regard to their race, color, religion, national origin, sex, protected veteran status or disability.
