  The School of Nursing has an outstanding opportunity for a Program Operations Specialist. One of two academic departments in the school, the Department of Biobehavioral Nursing and Health Informatics (BNHI) focuses on enhancing health care systems and studying the health and illness of adults and older adults.

  POSITION PURPOSE

  This 75% FTE position will provide skilled professional support to the department and its programs, including the Clinical Informatics and Patient-Centered Technologies Master of Science (CIPCT) program and the Psychiatric Mental Health DNP program.

  DUTIES AND RESPONSIBILITIES CIPCT SUPPORT – 50% Graduate Program Advising (25%)

  -Review student transcripts quarterly to prepare a report of the students' program status. Email reports to the student, advisor, and chair each quarter:

  Respond to student inquiries regarding program requirements and status.

  Monitor student status and send reminders to students regarding course enrollment, on leave request, etc.-Provide administrative support for Scholarly Projects and Theses:

  Initiate initial documentation in DocuSign, coordinating signatures from the students and their committee members.

  Provide students with Faculty Add Codes to register for the Scholarly Project/Master's Thesis course.

  Schedule students' final defenses, coordinating with the student and their committee members.

  Attend final defenses to record as needed.

  Upload recordings to Google Drive for future students to review.

  Initiate final documentation in DocuSign, coordinating signatures from the students and their committee members.

  Act as a liaison to Student Academic Services (SAS) and the Graduate School to ensure complete student files.-Provide administrative support for graduation:

  Assist students in applying for graduation.

  Initiate final documentation in DocuSign, coordinating signatures from the students, their faculty advisor, and committee members.

  Act as a liaison to SAS and the Graduate School to ensure complete student files.-Coordinate student orientations, including designing activities, presenting program information, and coaching through general onboarding tasks.-Manage student data utilizing EARS, SDB, and MyGrad.-Monitor program email and provide customer service to potential and current students.-Assist GNM applicants with course selection, documentation, and registration.-Host Information Sessions for prospective students.Program Administrative Support (25%)-Work directly with faculty Program Directors and Department Administrator to plan budget. Coordinate with faculty in scheduling online webinars through Zoom. Maintain the CIPCT calendar to ensure there are no conflicts between quarterly webinars.-Coordinate with PCE staff to schedule information sessions and program website updates-Coordinate weekly meetings between Program Operations Specialist and Program Directors. Includes managing Zoom schedule, preparing agendas, recording meeting minutes, and prompting action items.-Coordinate annual faculty meetings, including designing and presenting activities to 15-30 faculty members.-Manage web content updates and ongoing site maintenance to provide students with easy information access.-Manage Faculty and Student email list-serve groups.-Coordinate with BNHI and BIME Administrators to process Committee Chair (Faculty) stipends.-Prepare the annual newsletter, coordinating with Program Directors, Faculty, Students, and Alumni.-Survey Faculty for potential Scholarly Project Ideas. Coordinate with course faculty to disseminate information to students. DEPT CURRICULUM SUPPORT – 25% -Assist the Vice-Chair of Education in tracking BNHI courses to be taught.-Support ASEs Onboarding:

  Document and assign office spaces

  Coordinate K: Drive and email group access-Coordinate with SAS to ensure accuracy in the Time Schedule for BNHI courses and instructors.-Coordinate Mid-Term and End-of-Quarter Course Evaluations.-Provide program support to other academic programs, solely or as a team with other staff.-Perform other tasks assigned by the Administrator or Vice-Chair of Education to support the department's teaching mission.-Special projects and other duties as assigned.-PMHNP:

  Run quarterly reports in Typhon, archiving in the department’s shared drive.

  Regularly review and update Preceptor license information in Typhon.

  Prepare quarterly Preceptor Thank You Letters. MINIMUM REQUIREMENTS

  Bachelor's Degree in Education, Health Care, Informatics or related field

  Two to three years experience working in an educational institution providing curriculum support.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS

  Experience directly supporting students and/or faculty. Experience working on complex projects with deadlines. Demonstrated outstanding communication skills.

  Experience using online learning systems.

  Experience creating promotional materials.

  Experience with learning systems used by the programs, e.g., Catalyst, Zoom, RedCap, Typhon, Docusign, and others.
