Program Coordinator
The Program Coordinator is responsible for ensuring requisite documentation including, letters of good standing, health assessments/immunizations, transcripts, USMLE scores, clinical assessments and any clerkships applications associated in the clinical sciences program are efficiently processed within designated timelines. They further assure that the information on requisite documentation is accurate, complete, and meets University and hospital requirements. They provide excellent customer service to both students and hospital partner and work to overcome student issues to promote student success. This position will report to the Manager, Clinical Administrative Operations.
Essential Functions
Submits all requisite paperwork to hospitals for students completing various clinical rotations including letters of good standing, health assessments/immunizations, transcripts, USMLE scores, clinical assessments, and any clerkships applications. Ensures the Sharepoint sites are updated weekly with paperwork needs and ensures deadlines are met.
Ensures hospital rosters are updated weekly to reflect new additions and students who have been removed.
Ensure all paperwork is scanned into OnBase.
Responsible for ensuring all health documentation is updated and valid prior to the beginning of any clerkship.
Provides and actively tracks follow-up on outstanding documents needed to begin clerkships.
Reviews elective clinical assessments that are received and provides them to the registrar team for final review and grading.
Provides daily oversight of the Clinical Evaluations and Hospital Paperwork email box(s). Works closely with the team to disseminate information and ensure hospitals are answered within 24-48 business hours.
Ensures all SGU students are credentialed and can begin clinical clerkships.
Prepares and sends out all necessary correspondence with SGU students
Uses Banner, Clerkship Management, Infoview, OnBase, ClinEval and other systems to perform daily tasks and general data entry.
Provides valuable customer service to clinical students and hospital partners.
Ensures Clinical Assessment forms are received within 30 days after the clerkship ends.
Ensures proactive approach to graduation audit to meet graduation requirements efficiently.
Gives feedback on emerging student needs and helps develop innovative solutions to meet them, solving unique and complex problems with broad impact to student satisfaction.
Documents appropriate procedures, instructions, and rules to share knowledge and creates standard operating procedures.
Collaborates with other key stakeholders including leadership, legal and regulatory compliance.
Completes other projects and duties as assigned.
Essential Knowledge, Skills & Abilities
Solid computer skills with Microsoft Office Suite, Internet applications, database software, and Banner, CSM highly desirable.
Familiarity with NBME, ECFMG/USMLE guidelines and other pertinent policies and procedures necessary for licensure of international medical graduates (IMGs) desirable.
Writes and speaks professionally; presents information in a way that is understandable and clear to students, administrators, peers, and stakeholders.
Demonstrated ability to work independently and as part of a team.

Qualifications
A Bachelor’s degree is required; relevant experience in either medical education or a heavy volume customer service field may be substituted for the bachelor’s degree requirement.
1-2 years prior experience in education or a field related to counseling or customer service preferred.
Work Environment/Physical Demands
This job is performed at a workstation in a positive, creative and collaborative environment that may sometimes become quite noisy.Hours and Travel
A typical work week is 37.5 hours Monday through Friday 9am to 5pm.
This job may require some OT work during peak periods.
Travel is not required for this job.
The anticipated salary range for Program Coordinator is $36,550 to $43,000. The final salary offered may vary and will be determined based on factors such as the job-related knowledge, skills, experience, and education of the successful candidate. This information is provided per NYS local law.
