Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Assistant within the Rutgers Cancer Institute of New Jersey. The primary purpose of the Program Assistant position is to provide administrative support to the department of Workforce Planning & Performance. The position will process employee & student entrance and exit procedures. Develop customized reports and send communications for staff turnover, staff appraisals/probations, service awards, essential personnel, and employee exit questionnaires. Partner with OneSource to answer any payroll or timekeeping questions. Maintain and update employee database/filing system. Disposition candidates in HR recruitment system. Ensure the highest standard of customer service.
Among the key duties for this position are the following:
  • Maintains multiple tracking databases and communications for staff, student, postdoctoral fellow and temporary staff actions i.e., essential employees, turnover, service awards, Mailman, directory, employee appraisal and probation, and employee exit questionnaire.
  • Handles the employee & student entrance and exit process, including but not limited to: entrance/exit emails, CINJ orientation schedule, Turnovers/Hires & Separation Log, Probation Report, Service Award Report, PeopleSoft verification, Employee Files, save documents, etc.
  • Communicates monthly with managers on appraisal and probation due to dates to ensure timely completion. Ensures correct form and appraisal dates are used. Files and documents performance rating.
  • Designs, develops, maintains, and provides standard and customized reports to management as required.
  • Develops and maintains accurate Tables of Organization using Visio software for the Cancer Institute of New Jersey.

Minimum Education and Experience
  • Bachelor's Degree in Communications, Public Relations, Human Resources, Liberal Arts, Information Technology, or a related field is required.
  • Equivalent education, experience and/or training may be substituted for the degree requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Two (2) years of experience in a business office or academic institution is required.
  • Must be dependable, flexible, and people-oriented.
  • Must be willing to work additional hours to meet deadlines, as needed.
  • Must have excellent oral and written communication skills and a highly professional demeanor in person and on the telephone.
  • Ability to independently develop and create excel spreadsheets and organizational charts is required.
  • Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint.
  • Ability to speak effectively before groups of employees of the organization.
  • Effective oral and written communication skills.
Preferred Qualifications
  • Experience with Human Resource administration preferred.

PHYSICAL DEMANDS: Standing, sitting, walking, talking and hearing. No special vision requirements. Lifting up to 25 lbs.WORK ENVIRONMENT: Office environment. Moderate noise.
