We are transforming our HR function at Convatec and are now looking for great people to fill our newly created roles as part of our international HR Service Delivery Team, based in Malaysia. Our payroll support model has been at the heart of this transformation and this role will offer the successful candidate the opportunity to play a role in defining and supporting our future as well as being part of a new and exciting team.
We are looking for a detail-oriented, analytical and diligent Payroll Specialist who also has experience of managing a team. As part of the GBS HR team, this role will support Payroll processes across a number of countries with and through a wider team of payroll specialists.
Our ideal candidate is analytical and methodical, with experience in Payroll administration and strong knowledge of payroll regulations, preferably in more than one country, with some people management experience. We also value integrity, team spirit and strong organizational skills, with an ability to meet strict deadlines and to work with colleagues in international locations.
In this role, you will support Payroll processes for employees based across numerous geographical locations and at all levels of seniority within the organization. Convatec has employees in over 45 countries and continues to grow in line with demand for our products. We view people as our greatest asset and the production of an accurate and timely payroll is crucial to our relationship with our employees.
As part of your role, key responsibilities include:
Leading a high performing payroll team (direct line management of Payroll Associates and dotted line responsibility for Payroll Specialists)
Allocating and managing workloads across the payroll team
Ensuring relevant data is captured for payroll for the region
Managing any escalations from the team linked to hard to answer payroll queries or more challenging issues
Overall responsibility for payroll processing across multiple countries, coordinating in-country payroll processors where they exist
Designs, maintains and improves payroll execution by designing and improving systems and processes, directing the collection, calculation, and entering of data
Updates payroll records by reviewing and approving changes.
Supports employee queries relating to payroll as they arise, working with in-country payroll processors to do so
Liaises closely with 3rd party payroll providers, ‘in country’ payroll teams and centralised support teams to ensure a best in breed delivery of payroll solution
Designs and prepares appropriate reports to support the business
Manages relationships with stakeholders such as the payroll COE, Finance, wider HR, Benefits team, 3rd Party payroll providers and employees
Ensures team compliance with local legislation, including tax and social security
Supports required reconciliations with the Finance team, such as payments to statutory bodies, General Ledger files, etc
Maintains payroll guidelines and processes by writing, updating and supporting policies and procedures
Supports the development and maintenance of audit procedures and control reports to ensure the accurate processing of payroll
Ensures a clear and uniform payroll approach across jurisdictions
Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions
Maintains employee confidence and protects payroll operations by keeping information confidential.
What we are looking for in our successful candidates:
Team management experience
3 - 5 years of experience in Payroll
Previous experience using Workday is desirable
Experience of payroll processing across multiple countries is preferred
Solid understanding of the principles of labour legislation
Excellent Microsoft Excel skills
High level of accuracy and attention to detail
Logical thinker and innovative approach to root cause analysis, problem solving and process improvement
Excellent oral, written and client-facing communication skills
Experience of working closely with third party payroll provider model such as ADP, Safeguard or TMF would be considered advantageous
Excellent communication skills, ability to adapt to different styles and at different levels with impact and influence
A customer-first mindset to fit with our “forever caring” brand
Exceptional stakeholder management
Second-to-none organisational skills and the ability to prioritise and navigate a variety and volume of talent acquisition activity
Ability to deal with ambiguity and change
