We are seeking a highly skilled and detail-oriented Payroll Administrator with multi-state/locality payroll experience to join our team. The ideal candidate will have a thorough understanding of high-volume payroll processes, tax regulation and compliance requirements across various states. Under limited supervision, the Payroll Administrator partners with Payroll team members to ensure accurate processing of bi-weekly and monthly multi-state, multi-FEIN payrolls. Additionally prepares, documents, and maintains payroll, garnishments, and tax reports. Continually researches and stays up to date with state laws and organizational policies to ensure accuracy. This is a hybrid Monday thru Friday working, corporate hours. ESSENTIAL DUTIES AND RESPONSIBILITIES: (35%) Payroll Auditing and Reporting * Audits bi-weekly multi-state payroll including time and attendance data to ensure completeness and accuracy * Proactively researches errors and develops procedures to prevent reoccurrence * Prepares and distributes various payroll reports for auditing and internal management * Researches and validates team member state and local tax setup * Reviews address changes for possible changes to state and local taxes * Assists with multi-state tax administration, tax reporting projects, tax auditing and reconciliation procedures * Assists with garnishment administration, garnishment auditing and reconciliation procedures (25%) Payroll Processing * Assists with processing of bi-weekly and monthly multi-state payroll using ADP Workforce Now * Assists with processing of timecard data using ADP Time & Attendance * Processes more complex payroll entries and corrections * Processes garnishments, child support, and tax levies * Processes bonus, commission, and out-of-pocket files (20%) HR Department Support * Acts as informal mentor and coach to other members of the HR team * Functions as back-up for Payroll Manager in their absence * Completes new payroll/time system setup, changes and enhancements * Using the HRIS system and other information resources, generates a variety of department reports to compile related statistics and to provide useful information to the organization * Serves as subject matter expert for the team and other departments * Assists in the training and onboarding of new team members, as well as provides refresher and new training for existing team members, as applicable * Works with Payroll Manager to improve accuracy of payroll, department efficiencies, and the team member experience * Assists with special projects, as assigned * Participates in developing department goals, objectives, and systems. * Recommends new approaches, policies, and procedures to effect continual improvements in the efficiency of the HR department and performed services * Ensures policies, procedures and reporting are compliant with legal requirements and government reporting regulations * Keeps abreast of current payroll trends and developments by establishing professional affiliations and participating in professional activities to include seminars, conferences, and reading appropriate newsletters (20%) Market Payroll Support * Responds to more complex team member and manager inquiries * Assists team members and managers with more complex system questions and issues * Performs other duties as assigned COMPETENCIES (KNOWLEDGE, SKILLS AND ABILITIES) REQUIRED: * Knowledge of state and federal laws related to payroll and payroll taxes * Knowledge of and adherence to company policies and protocols * Knowledge of and adherence to HIPAA and safety guidelines * Skill in organizing and prioritizing work and following assignments through to completion * Skill in written and verbal communication * Ability to provide open, honest feedback to improve decision making * Ability to train and coach team members * Ability to take initiative to improve processes * Ability to handle highly confidential information * Ability to perform mathematical calculations * Ability to work independently and in a team environment * Ability to work in a fast-paced environment and meet established deadlines * Ability to be flexible in schedule and adaptable to constant change * Ability to effectively handle details with accuracy * Ability to maintain regular attendance and on-time arrival to work as scheduled * Ability to deliver high quality customer service to internal and external customers by communicating with integrity and compassion * Ability to resolve service recovery issues and understand when to escalate to the next level * Ability to convey complex subject matter clearly and engagingly * Ability to remain calm in difficult situations * Ability to effectively use strong analytical and problem-solving skills #LI-SO1 Required: * Associate degree * 5+ years Payroll experience; including multi-state payroll and tax administration with demonstrated ability to serve as a resource to others and identify and implement process improvement opportunities * 5+ years’ experience with Payroll/HRIS systems * Microsoft Office Suite experience with advanced skill in Excel, including the ability to download, modify and upload spreadsheets and databases * FPC/CPP or related professional certification Preferred: * Bachelor’s degree * Experience working with ADP WFN * Experience working with multi-state payroll and tax WORKING CONDITIONS: * Requires the use of office equipment, such as computers, fax machines, telephones, and copiers * Requires telephone and computer related activities for extended periods of time * Requires the ability to see, hear, speak, write and type Equal Opportunity Employer Minorities/Women/Protected Veterans/Disabled
