Job Description:
The Southern HIV & Alcohol Research Consortium (SHARC) is seeking an OPS Academic Research Assistant. This position will assist with SHARC academic programs and activities. The person must be prepared to take on a range of academic administrative duties related to applications, policies, procedures, tracking and planning. The person in this position must demonstrate effective organizational and problem-solving skills. This person should enjoy interacting with a diverse range of faculty, postdoctoral associates, students, trainees, guest speakers, and community members. This position is an in-person position located in Emerging Pathogens Institute for 20 hours per week.
SHARC T32 Training Program Administration
Assist with the operations of the SHARC T32 training program, designed to offer training and mentoring to the next generation of researchers focused on HIV and alcohol. Provide routine guidance and assistance to applicants, students and the public related to admissions of the program. Provide orientation to new T32 participants ensuring that all participants fully understand policies, procedures, guidelines, channels of communication and academic processes. Serve as the T32 liaison from application to program completion. Required to track T32 progress and thoroughly understand the T32 program in order to respond to inquiries and assist with successful participant support. Responsible for creating and maintaining participant files, managing monthly meetings, and tracking individual training budgets/spending and ensuring accurate record-keeping for required reporting. Assist with maintaining a T32 policy and procedure manual ensuring that it is current and accurate. Monitor all T32 applications and coordinate applicant interviews and travel as needed. Communicate with applicants about missing application materials and admission decisions and ensuring all information is forwarded to the admissions committee. Assist with the oversight of the T32 evaluation process. Assist with supporting T32 trainees with miscellaneous items such as insurance enrollment, requesting funding or tracking of program related items.
SHARC Professional Development Program (PDP) Coordination and SHARC Research Seminars
Assist with oversight the SHARC Professional Development Program ("PDP"). This will include maintaining a thorough understanding of the PDP and the requirements to provide students with guidance and assistance throughout the program from information to completion. Maintain all participant records including tracking of progress, follow-through for all program activities and ensuring participants are rewarded for each step. Responsible for presenting program guidelines clearly and ensuring necessary activities are offered to facilitate participant completion. Responsible for promoting and marketing the professional development program, which may be done by email, campus digital signage, social media, and any other means necessary to appropriately promote the activities to students and interested parties. Assist with SHARC Research Seminars. This will include planning and coordinating the event including event logistics, coordinating food and refreshments with the team, identifying potential attendees, speaker arrangements, event invitations, coordinating travel with the team, marketing, taking attendance, and coordinating reservations and reimbursements with the team.
Communications and Content development and management
Responsible for preparing correspondences for the SHARC programs. Assist with ensuring that the SHARC website content is appropriate and updated by working with all SHARC team members and website team. This includes overseeing usability and content of the site. (The position may call on technical support, and even delegate specific web pages to other staff members; the position should maintain the website’s overall vision.)
Assist with maintaining the SHARC e-mail listservs. Assist with crafting a quarterly newsletters and other digital communications, optimizing readability and aesthetic appeal. Assist with tracking of SHARC data such as publications and other center related metrics. Assist with center annual reports and assisting with grant submissions as needed.
Expected Salary:
$20.00 - $25.00 per hour; commensurate with education, skills and experience.
Minimum Requirements:
Bachelor’s Degree or one year of relevant experience.
Preferred Qualifications:
Positive and flexible attitude with excellent interpersonal skills is essential.
Ability to work independently and be a good problem-solver.
Excellent English communication skills (verbal and written).
Proficiency with Microsoft Office applications (i.e. MS Word, Excel, Access, PowerPoint, Outlook), web browsers, WordPress, Facebook, and Twitter
Experience working within the University of Florida's academic system is a plus, but not required.
Special Instructions to Applicants:
Schedule: Part-time, 20 hours per week, Monday-Friday, 8:00 am - 5:00 pm are the normal business hours. Schedule can be flexible with the days and times.
