  The Role:

  We're hiring an Operation and Customer Executive to join our busy and fast-growing Operations and Customer Services team based in Lisbon, Portugal.

  What you'll be doing:

  Engage in effective personal communication with customers, colleagues, and suppliers.Maintain effective relationships with clients and proactively support their complex needs.Ensure all shipments and customs requirements are handled according to company and international regulations.Calculate, prepare, and present quotes for external and internal customers in line with established guidelines and policies.React flexibly to deviations in shipments and provide customers with suitable and efficient solutions.Generate sales leads and collaborate with sales on identification and development of potential and existing accounts.Monitor, tracks, edits, and maintains jobs (Exports /Imports) in ongoing shipments in the Transport Management System.Keep clients fully updated as to the status of their shipments, especially in regard to any delays, monitors shipments during the transport and reacts flexibly to any deviation from the plan.Orders drivers (pickup / delivery of shipments at the customer, delivery / pickup of shipments at the freight-company)Manages the storeroom (packaging, supplies, cooling-media, etc.)Controls the gel packs stock in the fridge and freezer.

  Cold Chain Management Specific Tasks:

  Determine which shipping system should be used for any given cold chain shipment.Enter clear pick up and special delivery instructions advising both origination and destination office on how the cold chain shipment should be managed.Communicate any temperature results to the client as soon as the delivery has taken place after reviewing the results to check any deviations.

  Proficiency with working tools such as PowerPoint, Excel and WordFluency in EnglishStrong communication skills - both verbal and writtenAbility to independently manage multiple tasks, work under pressure and meet deadlines.Able to provide relevant ad-hoc information on request.Excellent organizational and time management skills.Dependable, Reliable and TrustworthySelf-motivated, positive disposition and flexible attitudeAbility to work as team player and independently.Remains calm under pressureAttention to detail and able to prioritize workload.Strong Team player - able to work constructively with colleagues inside and outside the department to ensure the best possible service is always provided to the client.
