Position: Office AssistantDepartment: Transportation & EngineeringDivision: Hub City TransitRate of Pay: $14.50/hr
Nature of Work:This is a detailed and skilled office administration position which includes working in a complex setting dealing with a wide variety of functions within Hub City Transit. Position assists in scheduling, maintaining on time performance, purchasing, inventory, scheduling and dispatch of on-demand services, Filing Typing labels for files and addresses and working is under the general supervision of the Office Manager. Hub City Transit Office Assistant must be able to work both independently and as part of an important team environment. Duties include considerable customer interaction and requires excellent phone etiquette & customer service in assisting passengers with route schedules, directions, problem solving, conflict resolution, etc.
Examples of Work:• Coordinate paratransit (demand response) customer schedule and dispatch customer's schedule.• Must be able to learn and utilize transit-specific programs such as route matching software, customer databases, radio communications, etc.• Monitor and maintain Paratransit customer database.• Work closely with HCT Paratransit drivers to ensure timely customer service and develop daily schedule for pickups and drop-offs for drivers.• Ability to work various computer software programs including scheduling programs.• Provide excellent customer service via telephone, an ability to communicate clearly verbally and in writing, and a high degree of attention to detail in communicating with passengers, drivers and management.• Responsible for Paratransit customer eligibility/certification process.• Participate/assist in the creation and submission of various regulatory reports (basic ridership & fare reports, National Transit Database, Trams, Title VI, DBE, etc.)• Drive, using city vehicle, to make bank deposits, to take relief drivers to their routes, to pick up purchases, and occasionally to fill an on-demand request (not a CDL-required function).• Any other duties as designated by the HCT Office/Division Manager or Director of Transportation & Engineering.
Desirable Qualifications and Experience
A High School Diploma or 2 year associate degree in a related field is a plus or equivalent with a minimum of two (2) years' experience. Must have a high level of experience and knowledge in office procedures and administration/management. Operational knowledge of copiers, fax machines, multi-line phone systems and other office equipment.Must be highly proficient in computer processes and programs including in Microsoft Word, Excel, Access, and Outlook. Familiarity with PowerPoint and Publisher is a plus. Will require training in transit-related software. Knowledge of Adobe suite and GIS is a plus.Good communication skills for extensive public contact both verbally and in writing; organizational and multi-tasking skills. Ability to compose and prepare professional correspondence is required. Ability to accurately proof facts and grammatical information of various document types and formats are all a must for this position, paralegal related education and/or experience is a plus.Familiarity with purchasing procedures is a plus and is highly desirable.May be required to successfully pass a typing test and/or a clerical skills test.Must possess a valid driver's license. CDL is a plus but is not required for this position.Willing to learn new processes and provide input to make upgrades to existing processes
