  The Role: Office Administrative Assistant - fix term 18 months

  T he Team: The Executive & Operations Support team provides exceptional customer service to Market Intelligence Senior Leaders and stakeholders across the globe. The Gdańsk office is strongly technology focused, providing solutions for multiple S&P divisions. There are currently over 500 employees and still growing.

  The Impact : We are looking for a self-driven individual with great problem-solving and customer service skills for our Office Administrative Assistant fix term role. The key purpose of this role will be to provide administrative and operational support to People, Finance and local management teams in Gdansk office, as well as providing support for related division events and programs. The Office Assistant will coordinate resources, improve workflow processes, and maintain collaborative team environments to accomplish meeting all goals.

  Key Areas of Responsibilities:

  Operational Support  

  Provide administrative support cooperating closely with local People, Finance and management teams.

  Manage local processes including B2B contractors and intern relations and support local benefits management.

  Provide reporting support for payroll purposes (eg. KUP tax relief).

  Assist businesses with onboarding, transferring and offboarding of staff, building access and other necessary guidance.  

  Work collaboratively with various internal departments to establish clear stakeholder expectations to ensure all deliverables are completed on-time.  

  Partnering with Facilities, mail room coordinators and IT Teams to ensure smooth running of the office.

  Site Support  

  Coordinate and support client meetings, office events, Town Halls, offsites and management meetings; includes catering, meeting logistics, meeting materials, Zoom/AV connections etc, room set up, furniture arrangement. Meeting visitors as required.

  Help Leadership and Executive team members on-site as needed. 

  Ordering necessary office supplies and ensuring appropriate supplies are stocked and organized in shared workplaces. 

  Be the point of contact for general office queries, such as desk bookings, printing etc. 

  Good working knowledge of our conference room/meeting technology to support basic IT needs along with ability to troubleshoot common user issues, working closely with AV and IT team. 

  Suggest and solicit creative ideas to keep our engagement & events fresh and motivating. Assist with budget estimates and options to ensure events remain within budget guidelines. 

  Support and coordinate social engagement activities and various office events. 

  Create and maintain an effective network and good working relationship with all members of EOS team and other colleagues.

  Assist with confidential projects when required.

  What We’re Looking For:

  Proven experience in an administrative support role, preferred HR.

  Fluent Polish and English (oral and written).

  Highly proficient in using MS Office, including MS Teams, Outlook, Word & Excel.

  Excellent teamwork skills, particularly the ability to continually anticipate emerging issues and to plan for success. 

  Strong communication skills.

  Good organizational.

  Customer-focused.

  This is 5 days in office work (Gdansk).
