What you'll do Under the direction of the Imaging Director, the Medical Imaging Manager Business Operations is directly responsible for facilitating the integration, management and data needs for all Radiology services across the Bassett Healthcare Network. This position is also responsible for managing the departmental fiscal operations, budget preparation and research, billing systems, coding regulations, financial reporting, insurance, equipment acquisition, RFP’s, Proformas, and large and small departmental and IT projects and maintaining and monitoring the Radiology Information System (RIS), and other Radiology systems. The manager also has direct supervision of scheduling and clerical staff across the network. Works in conjunction with the Network IT Imaging informatics Leader and network radiology leaders. Supervises all aspects of Imaging revenue capture, expense management processes, fiscal operations, budgetary development and analysis, capital planning and proforma development for new programs and equipment and Project Manager for initiatives across the network. Maintains/supports other business practices including appropriate support to the Director, Division Chiefs and Leaders in fulfillment of their departmental responsibilities. Responsible for ensuring up to date and accurate charge master including regular review and submission of pricing changes to finance. Assures timely submission of Radiology charges so that late charges represent no more than 5% of total charges according to standardized monitoring as measured by monthly review of late charge reports and periodic review of billing submission. Liaison to the coding staff - monitors the timeliness of charges being submitted to avoid any unnecessary late charges. Directly responsible for supporting coding initiatives. Adds exams/charges to the RIS as needed based on CPT guidelines. Prepares all required components of the budget for appropriate cost centers according to the budget cycle and submits in a timely fashion according to institutional guidelines assuring 100% on-time submission Monitors and analyzes budget performance. Oversees department leaders in the investigation of the budgetary variances and prepares variance reports. Develop and maintain systems to anticipate monthly revenues and expenses within 10% of those reported in monthly responsibility reports as measured by periodic audits of documentation. Prepare monthly and mid-month volume reports and analysis as compared to budget. Evaluate trends for volumes, revenue, and expenses to be able to anticipate problems and identify opportunities for improvements as measured by periodic review of reports and level of detail presented in monthly and other variance analyses. Monitor monthly expenses to ensure appropriateness of departmental expenses and service contracts Prepare quarterly business PI reporting. Responsible for the leadership in design, and management of summary reports relating to business, charge management, equipment inventory and other ad hoc reports to support the business case for specific projects. Manages large and small projects for the Network. Monitors departmental business systems and makes recommendations for change as required. Responsible for network scheduling Participates in and compiles analysis for new program development and new equipment acquisitions. Offers creative solutions to difficult issues in the department through the use of systems thinking. Serves as a resource for all leaders and Chiefs regarding business practice. Responsible for overseeing the training of all new personnel on business processes. Prepare and assist in the preparation of proformas or other financial analyses as required for the support of the network. Develop and present new ideas for increasing the profitability for Imaging. Gathers information on the appointment availability on a monthly basis and reports the findings to the Director 100% of the time. Monitors the abandoned call rate within Imaging and implements changes as needed to meet the organizational goal of a rate less than 10% and reports to the Director. Maintains open and constructive dialogue with finance and billing staff. Handles patient complaints about billing other operational issues and communicates with the Director on all patient issues 100% of the time. Participates in capital planning, maintaining the documentation and manages related projects as necessary. Works closely with the Managed Care office and patient finance to ensure timely capture of all scheduled appointments and add-ons requiring prior authorization. Investigates pattered rejections and implements training and/or procedure changes as necessary to minimize such rejections. Works closely with the Executive Assistant to ensure proper enrollment of Locum providers. Maintains open communication with the leaders of Bassett Imaging to ensure and standardize quality of radiology services throughout the Bassett Network. Oversees the processes and templates that are part of the charge and billings systems with the RIS, for the Department of Imaging network wide. Work closely with the department leaders to ensure accurate, complete, and timely capture of all revenue generating activities. Responsible for the operation of the Radiology Information System (RIS Administration).This includes (but not limited to) coordination of support, development, systems management, change management, system security, resource monitoring and reporting. Responsible for working with customers and vendors on the establishment and implementation of system upgrades and new system implementations. Works closely with the IT department’s management team to coordinate assigned clinical system projects/initiatives as it related to Radiology Informatics. Responsible for the implementation, development, testing and overall support of Radiology Information system and other Radiology systems. Responsible for maintaining the RIS system to ensure system is in sync with the billing system (CPT and exam related charges) Monitors appropriate computer access for all new and existing Radiology staff as per HIPPA guidelines and submits additions as needed. Works with Radiology department leaders and IT leaders to implement departmental objectives, strategies and tactics outlined for the department by the Operating plan Team Plans for and evaluates the need for new system solutions in collaboration with Radiology leaders across the network and IT leaders Provides direction and leadership which insures appropriate utilization of Bassett’s Radiology systems and which supports clinical users so that systems are maintained and objects achieved. Coordinates and/or participates in the system selection, design and build of the Radiology Information systems and systems upgrades, based on workflow analysis and sound principles of system design and maintenance. Develops and monitors progress of project plans and timeliness to ensure successful implementations. Communicates deviations from the plans or timeliness effectively as necessary Evaluations and approves system changes in accordance with Change Management Policies and appropriate project governance approval (if required). Performs or reviews appropriate testing of changes prior to moving changes to the live environment, and re-testing the live environment to ensure 100% accuracy Identifies and corrects clinical system issues related to the delivery of services which can result in decreased patient, staff or customer satisfaction and/or recommends action on such issues to the appropriate party Manages projects with minimal supervision Provides leadership, planning, and support for implementations, upgrades and in downtimes Monitors system for accuracy of data and optimal system function. Develops objectives and strategies for use of technology to support physicians and clinical staff in patient care activities and documentation of care. Develops and coordinates workflow and system improvements to maximize performance and the patient experience within the organization Manage training of staff with Radiology systems across network Leadership requirements: Leads Radiology system projects and other initiatives Establishes and maintains a working manual outlining all procedures and protocols associated with Scheduling functions, administrative functions and coding functions to ensure accuracy and completeness. Maintains meetings individual of department meeting for staff monthly as noted by the Director. Maintains and establishes a meaningful communications plan through regular meetings and other communication vehicles for employees emphasizing information flow, problem identification and resolution, constructive working environment, and significant employee participation and input in the decision making process. Counsels employees as needed regarding performance, writes performance evaluation, recommends merit raises, maintains personnel records, and ensures that all employees have the appropriate qualifications and credentials. Prepares daily work schedules and monthly work schedules. Responsible for scheduling employees in order to have complete coverage for good patient care and timely billing. Leads the development, implementation, communication and promotion of Radiology systems plan. Monitors national trends and recommends cost-effective strategies to improve Radiology workflow and technology throughout the network Ensures compliance with all regulatory agency requirements (Joint Commission, HIPAA, etc) Performs other duties as requested Track and maintain expense control as budgeted. Report any variances to leadership. Assist Director and Business Operations Manager in budget planning What we need from you Education: 4 year/Bachelors degree in business or a related field, required In lieu of bachelors 5 years' experience in business operations or finance recommended Experience: Minimum 5 years of leadership experience with five years as a Manager or Supervisor preferably in a healthcare setting. This position is eligible for a sign on bonus up to: USD $10,000.00 Pay Range Salary is based on a variety of factors, including, but not limited to, qualifications, experience, education, licenses, specialty, training, and fair market evaluation based on industry standards. The above compensation range represents a good faith belief of the compensation range by Bassett Healthcare Network, and its entities and affiliates, at the time of this posting or advertisement. Pay Range Minimum: USD $74,953.23/Yr. Pay Range Maximum: USD $112,429.85/Yr.
