  About the role

  We are looking for an experienced Management Assistant to support the President of Commercial Excellence and VP Global Marketing. Located in our corporate headquarters in Zurich, this is a fantastic opportunity to immerse yourself in the world of cocoa and chocolate. The successful applicant will bring a high level of energy, flexibility, and a proactive and creative mindset

  Key responsibilities include

  Providing administrative support to the President and VP, such as managing calendars, coordinating meetings, and scheduling appointments across multiple time zones

  Organizing complex travel arrangements and manage approval flow of team travel requests

  Ensuring seamless communication within the team

  Prepare and organize meetings, agendas, presentations and other documents using Google Suite, & MS Office Suite, F&B requests; business luncheon meetings

  Organize events such as global conferences (abroad or in Switzerland)

  Prepare expense reports accurately on a timely basis according to local policies, and manage vendor creation, PR & invoice approval flow

  Manage Vacation tool including submission on behalf of President and VP as well as approval and management of team vacation requests.

  Support in various activities such as projects, events

  About you

  Commercial apprenticeship or completed higher education with a BA degree or relevant diploma

  At least 5 years’ experience in a similar role supporting senior management

  Excellent written and verbal communications skills in English, any additional languages are an advantage

  Proficient user of Google Suite and MS Office Suite with special focus on PowerPoint

  Structured, organized, and proactive

  Self-starter, who likes to work both independently and as part of a team

  Creative and energetic

  Ability to multitask, prioritize, and keep calm under pressure

  Brings positive attitude and a strong team spirit, strong stakeholder management, can bring in own ideas
