  OPERATIONS OFFICER

  WHAT IS THE OPPORTUNITY?

  Responsible for assisting the Operations Manager and Operation Shift Lead by assisting mailroom colleagues with daily tasks and monitoring the department workflow to ensure daily tasks are complete. Assist with cross training within mailrooms and monitoring the performance expectation, and ensuring the operational integrity of assigned function and adherence to Bank policies and procedures.

  What you will do

  Maintains safe and clean work environment by educating and directing personnel on the use of equipment, and resources; maintaining compliance with established policies and procedures.

  Maintain workflow by monitoring steps of the process and maintain quality service by establishing and maintaining standards.

  Ensure company vehicles are inspected and maintained according to bank policy.

  Ensure colleagues are informed, by conducting frequent staff meetings.

  Ensure daily record keeping, attendance, and shifts turnover reports are complete and filed according to the department procedure.

  Provide input to management on staffing, work schedules and improvements, as business needs change, and schedule colleague’s vacations, so there’s no critical impact to Service level Standards.

  Collaborate with Internal clients, vendors, and maintain updated knowledge of US Postal Service, FedEx, and UPS regulations.

  Maintain adequate department supplies and ensure mail equipment maintenance is maintained, to prevent downtime and interruption of mail services

  Fulfill FastTrack and ASAP request for Mail Services, and communicate to departments and the other Mail Centers on status updates.

  Must-Have*

  Bachelor's Degree or equivalent experience

  At least three years supervisory experience

  Skills and Knowledge

  Knowledge of Lockbox Operations, handling client’s remittances using an automated Opex 50/51 extractor.

  Review remittances for acceptance or rejection of payments, based on processing instructions, while ensuring all assigned work, i.e., envelopes, checks, invoices, credit card voucher and correspondence, is batched correctly and completed in a timely manner.

  Perform standard closing procedures that may include a quality review to ensure all printed images and reports are legible and ensure re-association, packaging and mailing of client processed remittances meets the various client requirements.

  Ability to open, sort and process all incoming mail either manually or with the use of a mail sorter and automated capture equipment. Process Incoming Checks • Process and print outgoing check files • Process returned checks daily • Process, track and report returned check disbursements.

  Strong Data Entry skills • Sorting and preparation of checks for scanning and deposit • Research and answer customer inquiries received via phone, correspondence, and e-mails to resolve problems and ensure customer satisfaction.

  Maintain customer files and records • Approval of Manual agreements • Approval of E-signature agreements • Scanning of Agreements.

  Experience with Microsoft

  Knowledge of Postal Regulation

  Ability to operate a motor vehicle.

  Ability to communicate with bank personnel and good writing skills.

  Ability to function independently and make deadlines and quality standard.

  Compensation

  Starting base salary: $24.46 - $36.69 per hour. Exact compensation may vary based on skills, experience, and location. This job is eligible for bonus and/or commissions.
