Description
We are seeking a highly organized and detail-oriented Legal Administrative Assistant to join our dynamic legal team. The successful candidate will play a crucial role in supporting our legal professionals and ensuring the efficient operation of our legal department. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Responsibilities:
Document Management:
Assist in drafting, editing, and proofreading legal documents, correspondence, and reports.
Organize and maintain physical and electronic files, ensuring easy retrieval of information.
Manage document flow and coordinate document signings, filings, and deliveries.
Calendar and Schedule Management:
Maintain and update attorneys' calendars, including scheduling meetings, appointments, and court dates.
Coordinate travel arrangements and accommodations for legal professionals when necessary.
Communication and Correspondence:
Act as a liaison between legal professionals, clients, and other stakeholders.
Answer and screen phone calls, emails, and other communications.
Draft routine correspondence and maintain communication logs.
Legal Research:
Conduct legal research as directed by attorneys to gather relevant information.
Summarize and organize research findings for use in legal proceedings.
Billing and Expense Management:
Assist in preparing and processing legal invoices.
Track and manage attorney expenses, ensuring accurate and timely reimbursement.
Administrative Support:
Provide general administrative support, including photocopying, scanning, and faxing documents.
Assist in the preparation of presentations, reports, and other materials.
Requirements
Qualifications:
High school diploma or equivalent; additional education or certification in legal studies is a plus.
Proven experience as a legal assistant or in a similar administrative role.
Strong proficiency in MS Office Suite and legal case management software.
Excellent organizational and time-management skills.
Exceptional attention to detail and accuracy.
Strong written and verbal communication skills.
Ability to handle confidential information with discretion.
Familiarity with legal terminology and processes.
