Our client, an equity real estate investment trust, is seeking a Commercial Real Estate Paralegal to join their team full time.
Position Summary:
We are currently seeking a Full-Time Legal Assistant to join our in-house Legal team to support the company’s real estate acquisitions, dispositions, financing, leasing, and public company activity. We are looking for a highly motivated individual who has the desire to learn and grow in this position and to expand his/her skills and responsibilities. This is a full-time in-person position based in Rye, New York requiring qualified incumbent to work onsite a minimum of 4 days each week (Monday to Thursday).
Responsibilities will include:
• Provide administrative support to company’s Board of Trustees with respect to board and Committee meetings, including travel arrangements, meeting scheduling, expense reports, and assist with preparation and coordination of meeting materials.
• Provide general support to the operations of the Legal Department. Responsibilities include, but are not limited to, editing documents, processing invoices, working with the time-keeping program, preparing expense reports, scheduling meetings, and assistance with various corporate matters.
• Organize and facilitate closings, including preparation and review of various closing documents, assignments, consents, and certificates.
• Prepare, review and distribution of tenant estoppels and secretary certificates.
• Review of due diligence materials and assistance with post-closing matters.
• Primarily working with the board of trustees, calendar management, coordinating that time, etc.
• Managing travel and expenses for the board members, travel for the board members. Heavy admin tasks in that regard
• Legal invoices for the team – large volume of legal invoices. Goes through a bunch of reviews. Pushback on legal invoices. Coordination both internally and externally with the attorneys that we work with outside as well
• Experience with an in-house legal team is valuable.

• Bachelor’s degree
• A minimum of 3 years’ experience working in an administrative and/or legal secretary role within a legal department with transactional real estate experience.
• Eager! Wants to grow!
• Ability to work onsite in Rye, New York at least 4 days per week (Monday to Thursday).
• Ability to work collaboratively with all departments in the company and to think strategically and take ownership of projects.
• Superior organizational skills with demonstrated ability to multitask and prioritize competing tasks and demands in an effective manner to meet deadlines.
• Exceptional attention to detail, judgment, ability to follow-through with initiative and dependability.
• Excellent computer aptitude and advanced proficiency with Microsoft Office Suite. Experience with Concur, NexusPayables, or other similar invoice and expense management software systems.
