　　We are currently seeking a highly motivated and organized individual to join our legal team as aLegal Administration Officer.

　　As a Legal Administration Officer, you will play a crucial role in supporting our legal department by managing administrative tasks, ensuring compliance with legal procedures, and contributing to the efficient operation of the legal team. This position offers an excellent opportunity for a detail-oriented professional with a passion for legal administration to grow and thrive in a dynamic environment.

　　Main tasks and responsibilities

　　General Responsibilities:

　　Order documents from relevant authorities (Trade Register, Konserniverokeskus, Väestötietojärjestelmä)

　　Utilize Docusign for collecting electronic signatures

　　Handle invoice processing, POs, and other administrative tasks

　　Assist the General Counsel in various tasks, including travel arrangements and meeting coordination

　　Organize the physical archives, including sections owned by group functions and BAs

　　Coordinate the destruction of documents as per planned retention periods.

　　Insider Register Management:

　　Administer the InsiderLog tool for maintaining registers, including PDMR register, project registers (MAR), and closed window group/financial information recipient

　　Ensure compliance with MAR, Fiva instructions, stock exchange insider rules, and Kalmar insider regulations

　　Notify insiders of their status, send quarterly reminders on trading restrictions, and conduct quarterly check-ups on the closed window group.

　　PDMR Trading with Kalmar Shares:

　　Provide instructions to Persons Discharging Managerial Responsibilities (PDMRs)

　　Assist with Fiva forms and proofread releases

　　Update instructions on Kalmar.com as needed.

　　Related Party Register:

　　Manage the InsiderLog web solution for related party transactions

　　Obtain annual confirmations from related parties for ARC review

　　Maintain related party registers for Finnish subsidiaries, ensuring communication with subsidiary board members and reporting to auditors.

　　What you’ll need to succeed

　　Education

　　Masters or Bachelor Degree.Experience

　　5+ years relevant experience working in similar role in a listed company.Competencies

　　Experience in management of corporate governance and administrative matters in an international business environment and a variety of company legal matters (e.g. corporate and securities market related issues, insider information management and compliance), and of related tools

　　Ability to communicate legal issues with division’s senior management

　　Ability and desire to take responsibility

　　Fluency in English, other language skills are considered as additional merit

　　Ability to work independently, take initiative and drive things forward

　　Flexibility and ability to work with different time zones and people from different cultures.
