　　Department Information

　　The Center for Immersive and Simulation-based Learning (CISL) at the Stanford School of Medicine, and its 28,000 square foot Goodman Immersive Learning Center (ILC) in the Li Ka Shing Center for Learning and Knowledge (LKSC), is recognized as a world-leader in Immersive and Simulation-based Learning (ISL). For nearly 30 years, Stanford has been a pioneer in research, curriculum development, and instructor training in simulation in healthcare, through the work of Professor and current Associate Dean for ISL David Gaba MD and a host of other medical school faculty. The ILC offers various immersive learning experiences, including mannequin-based simulation, partial-task training, and standardized patient actors (who are trained to play the role of a patient with a specific medical complaint). The focus on medical education and lifelong learning is the driving force of the ILC. The use of the ILC continues to grow as more immersive activities are being developed for all learner populations, including medical and physician assistant students, residents, fellows, and experienced clinicians both from Stanford Medicine and from outside institutions.

　　Job Purpose

　　CISL is seeking a Learning Space Specialist to join their dynamic team to assist in providing a highly coordinated set of educational planning and support services to facilitate the innovative and appropriate use of teaching technology throughout the School of Medicine. The CISL team brings together cutting-edge medicine, modern education and advanced technology.

　　Reporting to the Director of Operations for Learning Spaces and Immersive Learning Center Operations, this position is part of a team responsible for scheduling over 10,000 annual events and resources in the School of Medicine’s educational spaces.

　　This position will be based on the Stanford campus and will be considered for an option of telecommuting from the Bay Area (hybrid of working 2-3 days on-site), subject to operational need.

　　Core Duties

　　Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.

　　Day-to-day scheduling in 25Live of SoM learning spaces and resources according to policies and priorities outlined; advise users of room use policies, priorities and request process.

　　Makes recommendations for policy and process changes to supervisor in order to better streamline support and conflict resolution.

　　Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.

　　Work with appropriate groups (i.e. OME, CISL, conference center, academic departments) to resolve conflicting scheduling requests – considering policies, flexibility of programs and alternative options.

　　Communicate proactively with AV/IT classroom support staff daily about last-minute requests/changes.

　　May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.

　　Participate in intensive annual scheduling project over the summer months. This project entails:

　　collecting room and resource requests from departments and programs across the School of Medicine, hospitals and university for the next academic year;

　　answering questions and providing guidance about the process to those customers;

　　working closely with internal staff to determine the best outcome for the most users while considering priorities.

　　Maintain appropriate course, event, resource and departmental contact information in R25. Ensure that event reservations contain criteria needed to interface with classroom video capture software and SoMcourse management software.

　　Utilize Smartsheet ticketing system for tracking and resolving room use issues and for reporting and resolving classroom and resource issues.

　　Maintain MedWiki with current scheduling process information.

　　Provide backup support of classroom walkthroughs and room layouts in SoM Learning Spaces.

　　Education & Experience (Required)

　　High school diploma and four years of administrative experience, or combination of education and relevant experience.

　　Advanced computer skills and demonstrated experience with office software and email applications.

　　Experience with scheduling software, such as 25Live.

　　Experience working with database software (e.g. Smartsheet, Microsoft Access, FileMaker, etc.).

　　Occasionally lift/carry/push/pull objects that weigh up to 25 pounds.

　　Physical Requirements

　　Constantly perform desk-based computer tasks.

　　Frequently sitting.

　　Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.

　　Rarely twist/bend/stoop/squat, kneel/crawl.

　　The expected pay range for this position is $33.17 to $38.46 per hour.
