Under indirect supervision, assists Clinic Supervisor w/ coaching, mentoring, & monitoring staff performance to ensure efficiency & maximization of resources. Directs & assigns work activities of clerical staff. Provides assistance & serves as liaison between Clinic Supervisor, other departments & staff. Monitors & reviews data to assure appropriate staffing mix to provide adequate staff & provider coverage. Prepares various reports & monthly schedules as necessary. Follows & assists w/ implementation of policies & procedures. Serves as role model to staff & performs variety of clerical & office duties as appropriate.
Essential Functions:- Performs all normal duties of a clerk as needed & applicable; monitors service levels & department operations on a real-time basis; assists w/ difficult problems when necessary, refers to supervisor after all appropriate alternatives are exhausted.- Notifies supervisor of any developing process problems/issues that need attention; assists w/ patient complaints; identifies any causes for degraded service levels that need immediate attention; makes recommendations to balance workflow; collaborates w/ supervisor to develop operation strategies.- Prioritizes & coordinates daily workflow & activities of clerical staff; assigns staff as appropriate to perform secondary duties.- Develops work schedules & assignments; assures timecards are accurate & complete; directs & assigns work activities of clerical staff to assure adequate coverage especially during peak hours; schedules & monitors breaks- Serves as clerical resource & contact person to staff as appropriate; acts as spokes-person & liaison for clerical staff to supervisor & medical staff as appropriate.- Meets w/ team to ascertain & coordinate team & individual concerns & issues; represents team issues to supervisors/leadership; meets w/ other leads to discuss common problems & issues & share best practices.- Communicates & educates clerical staff as to policies & changes; ensures clerical staff understand policies & changes.- Collaborates & assists w/ team, leadership & other committees as appropriate to design, plan, coordinate, & implement improvements; identifies & resolves issues around improvements.- Assists supervisor w/ orientation process of clerical staff; works w/ supervisor & appropriate staff to implement training & monitoring measurements; assists in orienting, training, coaching, & mentoring of clerical staff.- Assists supervisor w/ monitoring staff performance which includes the performance evaluation process; provides information to supervisor of employee-s performance; educates & informs staff of standards & expectations; assures departmental & organizational quality of service standards are upheld; works w/ supervisor in identifying potential & existing barriers to maintain standards.- Records, compiles & computes data for routine, special & statistical reports of studies; prepares various reports, monthly schedules as required; works w/ supervisor to develop custom reports as needed; receives member survey results; posts reports for team. - Assures that all clerical equipment in area is operating in acceptable manner; reports malfunctions to appropriate party & follows appropriate procedure for repair within limits of authority; implements corrective measures, enhancements or modifications as instructed.- Demonstrates knowledge, skills, and abilities necessary to provide culturally sensitive care and/or service. - Performs other duties & accepts responsibility as assigned.
Basic Qualifications:Experience- Two (2) years working in clerical/customer service environment, with one year in appointment coordination and scheduling related experience.Education- High school diploma; or equivalent combination of education (lesser)&experience may be considered in lieu of requirements.License, Certification, Registration- N/A Additional Requirements:- Ability to provide instructions and relate to patients and staff in pleasant and courteous manner.- Type 40 wpm.- Demonstrated knowledge of and skill in leadership, coordination, organizational skills, group presentations, problem solving, work independently, prioritization, multi-tasking, oral communication, written communication, interpersonal relations, customer service, and conflict resolution.- Demonstrated knowledge of and skill in word processing, spreadsheet, and database PC applications.- Talking to co-workers, customers, outside vendors, and on the telephone.- Reading, writing, speaking and understanding English.- Training/giving and receiving instructions.- Mathematical ability, attention to detail (e.g. organization, prioritization, proofing), concentration and alertness.
Preferred Qualifications:- Previous leadership experience in clinical or hospital environment.- Knowledge of KP systems and organizational structure, policy and procedures and operational systems and processes.- Familiarity with interpreting and understanding budgets.- Ability to fluently speak multiple languages.- Post high school coursework in Medical Terminology.
