  Position Summary

  As an Internal Communications & Administrative Assistant- Coffee Z-EUR , you will be responsible for the internal communication, event management and tools development and will contribute to the design and communication of events of varied nature ensuring flawless execution.

  In addition, you will provide high quality & proactive administrative support to the Head of Coffee Category Z-EUR, F&C and Operations Heads and their teams. You will facilitate the smooth functioning of key departmental activities that relate to the planning and on-going management of the department and its interaction with other functions in the business.

  A Day in the Life of an Internal Communications & Administrative Assistant - Coffee Z-EUR

  Internal Communications & Event Management

  Act as our Digital Platform Co-pilot for Intranet and Workplace, feeding and updating content and taking the lead on implementation

  Act as the Co-pilot for internal communication campaigns such as Newsletters, booklets (Coffee Business Priorities, Commitment), etc. and lead the implementation

  Support on business update events, such as internal webcasts, townhalls & announcements

  Act as our end-to-end Project Manager for varied events (conference, CLTs, workshops, etc.), demonstrating ownership on developing a plan, coordination with all stakeholders (internal & external), logistics and budget consolidation management

  Act as point of contact for communication assets requests from markets and functions & PowerPoint templates

  Administrative support

  Outlook agenda management, team meetings coordination, travel arrangements organization and processing of travel expenses

  Manage general administration activities with efficiency: prioritize and prepare information as required to ensure timely follow-up (documents validation and lists update, SharePoint groups management, office supplies management, coordinate employee’s arrivals / departures, etc.)

  Manage yearly calendar plan for Category Head and Category Leadership Team

  Manage budget tracking and support on the PR/PO process

  Manage team's digital agreements

  Act as a back-up of colleagues whenever needed

  What will make you successful

  Confirmed experience as Administrative Assistant supporting Senior Leaders with proven interest for communication and digital topics

  Previous experience in multinational environment

  Excellent communication and organization skills with ability to engage with stakeholders at all levels

  Team-player with problem solving attitude and ability to focus on details

  Agile with ability to multitask, work under pressure and adhere to deadlines

  Very good IS/IT tools (MS Office applications, SAP, Concur) knowledge and curiosity to adopt new solutions

  Fluency in English and French
