AMERISAFE is seeking a detail-oriented, productivity driven professional to add to our Excellence Team based in DeRidder, La. Purpose:
To ensure that all incoming documents to be scanned are handled in an efficient, timely manner. Process all incoming/outgoing mail on a daily basis. Report directly to the Imaging/Mail Services/Receptionist Manager.
Responsibilities:
The successful individual in this key role will be responsible for:
Participate in training for the Document Management System and additional classes for knowledge and skill development
Assist in prepping of underwriting mail received
Select correct batch and scan all mail by specific department
Route images via computer to be indexed further by departments
Maintain work area in a clean, neat, organized manner
Alert supervisor, to provide resolution of any scanning issues
Solve problems using good overall problem solving techniques
Pick up incoming mail from the DeRidder post office @ 9 a.m.
Assist in sorting and opening all incoming mail
Deliver on a timely, daily basis, overnight mail and obtain all signatures
Process outgoing mail and ensure proper postage on each piece
Deliver mail to the Post Office by 4 p.m. on a daily basis
Perform maintenance on mail equipment on a weekly basis and maintain imaging equipment to ensure optimum view of documents.
Understand and maintain a monthly breakdown of returned mail pieces, accurate daily/monthly USPS reports, and accurate weekly/monthly FedEx reports.
Keep a current inventory of all FedEx and postal supplies along with maintaining an adequate supply of imaging tags on hand.
Assist in training other employees at managerand#39;s request
Special projects as requested by the Manager.
Qualifications:
The successful candidate will be able to demonstrate the following:
High school diploma or GED required.
Ability and capability to work with other co-employees and follow instructions, procedures and protocols.
Handling emergency situations, ability to think, respond quickly and be patient and act with restraint.
Ability to communicate effectively with co-employees and clients.
Sitting, twisting, reaching, and wearing ear phones on a regular and/or daily basis.
Available for flex work schedule as needed.
Human relation skills to deal effectively with visitors/customers/co-employees in person or on the telephone
Ability to handle multi-task phone system
Cross train on the receptionistand#39;s desk/phones. Required to fill in the Receptionistand#39;s desk, as needed for breaks.
To follow all procedures according to the company procedure manual as well as the imaging and mail center guides.
