  Job ID12232LocationCase Main CampusFull/Part TimeFull-TimeRegular/TemporaryRegularJob DescriptionPOSITION OBJECTIVEWorking under general direction of the department chair and academic manager, this individual is responsible for the developing and implementing procedures for the timely submission of appointment requests for research and teaching appointments in the department. The individual in this position works directly with the chair, faculty and staff in preparing appointment forms and visa applications submitted to the dean's office, HR Immigration, Office of Diversity and Inclusion, and Graduate Studies. This individual must be proactive, have good judgment and decision making skills. Assignments may be long-term and require the individual to rely on own resources in task accomplishment.ESSENTIAL FUNCTIONSAssist faculty with searches for appropriate candidates for research appointment positions. Review job postings to make sure they are compliant with the requirements of the Office of Diversity and Inclusion. Make recommendations of websites and publications for posting ads. Submit job postings requested by supervisor. Maintain recruitment documentation per university guidelines. (10%)Review and process faculty requests for research appointments. Analyze candidate education and experience and make recommendations for job titles and salary ranges. Analyze visa requirements and make recommendations for appropriate start dates. Prepare appointment and visa paperwork, obtain required documentation from faculty supervisors & applicants, and submit requests to the dean's office, HR immigration and Graduate Studies in a timely manner. (15%)Manage reappointments, visa renewals and visa changes to ensure appointment forms and visa applications are submitted timely to ensure continuous employment and compliance with Homeland Security guidelines. (20%)Process chair requests for teaching appointments, secondary appointments, and adjunct appointments. Prepare documentation required for the faculty vote and submit required paperwork to the dean's office for approved appointments. (15%)Prepare Volunteer and Safety forms for volunteers working in faculty labs. Work with supervisors to obtain the necessary information and submit forms to Safety Services in a timely manner. (10%)Maintain confidential HR files and databases, and prepare HR reports for academic manager, chair and dean's office, as needed. Update employee information on the BME website and maintain faculty and staff department mailboxes. (10%)Cover department telephone calls and manage reception area. Take appropriate action by contacting faculty/staff to fulfill the requests. Assist faculty with requests for room reservations, catering, printing, office supplies, regalia, and books. Assist as needed, with purchases and reimbursements. (10%)Serve as a backup to the chair's assistant. Assist, as needed, with the preparation of Promotion and Tenure materials; Faculty Activity Report and faculty hires. (6%)NONESSENTIAL FUNCTIONSPerform other duties as assigned. (4%)CONTACTSDepartment: Regular contact with chair, faculty, academic staff, and research staff to process appointment and visa paperwork. Regular contact with academic manager to discuss work assignments. Department contact for office supplies.University: Contact with dean's office, HR records, HR Immigration, Graduate Studies, and the Office of Diversity and Inclusion to process appointments and visas. Also other university administrative departments (such as Accounts Payable, Printing, Events and Catering) to exchange information.External: Daily contact potential candidates and external constituents. The nature of the contact could be via e-mail, phone, or in person.Students: Daily contact with students at the graduate and undergraduate levels to
