  POSITION PURPOSE The Department of Anesthesiology & Pain Medicine (APM) has an outstanding opportunity for a full-time Grants and Contracts Specialist (Payroll Title: Program Operations Analyst). The purpose of this position is to oversee and facilitate basic science, translational and clinical research administration. This position reports to the Assistant Director for Research Administration and will be hybrid remote with in-person location at UW Health Sciences area. This position will be a member of the APM Grants and Contracts Management Team and will contribute to the administrative research support of researchers at UWMC, Harborview Medical Center (HMC), and South Lake Union (SLU).

  This position requires subject matter expertise with excellent skills, knowledge and experience in all aspects of research administration, including pre-award proposal and budget preparation, post-award management, fiscal management, and clinical research grant and contract administration.

  Primary responsibilities include pre- and post-award consulting/advising, pre-award preparation, post-award management, including responsible financial management of grant and contract awards. The Grants Specialist will serve as a primary resource for department faculty on clinical grant, contract, gift and other funding issues and requires extensive knowledge of the numerous policies and procedures of different funding agencies. Using independent judgment and discretion, this position will provide pre- and post-award support to faculty investigators within the department, including budget planning, pre-award preparation assistance, proposal expense allocation and reconciliation, reporting, compliance oversight and closeout.

  This individual’s major responsibilities will include:

  Pre & Post Award responsibilities 85%

  Communication and interactions around research staffing and payroll 10%

  Other Grant Administration Duties 5%The Grants Specialist must have strong operational and administrative experience and expertise. This individual must have excellent interpersonal and relationship skills as well as absolute discretion in order to build strong working relationships and gain the confidence of the various faculty investigators. The Grants Specialist must regularly exercise independent judgment in a variety of arenas and must set multiple priorities with little or no direct supervision.The Grants Specialist will support highly trained, world renowned faculty investigators in their efforts to generate innovative, translational research in Anesthesiology and Pain Medicine. Proactive and efficient grants management will maximize available grant and contract funds to further investigators’ ability to achieve success in their research. Ultimately this will lead to increased scientific knowledge and improved patient outcomes and wellbeing.The Department of Anesthesiology and Pain Medicine is a diverse group of clinicians, educations, researchers, and administrators who unite to advance medicine and healthcare through innovation and education. APM has 103 full-time clinical and research faculty members, 82 residents, 33 fellows and visiting scientists, 95 research and administrative staff members and 113 affiliated clinical faculty members. Our current research funding from both government and private sources is $14 million. DUTIES AND RESPONSIBILITIES Pre & Post Award Responsibilities 85%

  Coordinate with ABC Services staff to assist with pre-award processes, including routing of eGC1 and performing eGC1 compliance reviews

  Manage post-award grants process: Coordinate the setting up of new projects; provide appropriate spending allocation information; troubleshoot and resolve problems; provide analysis, guidance and oversight on all post-award grants and contracts management issues.

  May include management of cost centers/recharge centers for large Center grants as well as management of subcontracts and outside entities.

  Oversee the compliance process to ensure expenditures are within proposed and accepted scope of work.

  Monitor and project budgets to support the faculty in resource management and staffing levels

  Provide monthly budget projections for distribution as well as personal review with PIs and other affected faculty.

  Initiate appropriate action related to spending and staffing for faculty labs and grants.

  Monitor and report faculty effort and cost sharing on grant activities

  Analyze and prepare documentation for faculty salary recapture funds.

  Responsible for the management and compliance with the UW FEC compliance procedures for faculty researchers.

  Support faculty investigators with wrapping up and closing processes for grant awards; submit requests to sponsor for extensions as needed. Research Staffing and Payroll 10%

  Work with HR Team to ensure they are aware of any staffing that may be necessary based on requirements, funding and research projects; refer PIs to HR team for consultation on type and number of staffing;

  Provide input to all appropriate parties (including affected managers and HR payroll personnel) regarding changes in costing allocations, grant end dates or other changes that affect research personnel.

  Communicate in a timely manner any changes to affected Division Managers and/or PIs and Lab Managers as appropriate

  Ensure communications are timely

  Be or become aware of payroll/Workday processes timelines and lead time necessary to complete changes. Other Grant Administration Duties 5%

  Track and update SIMS space allocation.

  Attend weekly research staff and grant specialist meetings.

  Attend monthly department staff meetings.

  Other duties as required. MINIMUM REQUIREMENTS

  Bachelor’s degree in Business Administration or other appropriate degree OR equivalent combination of education and experience producing comparable knowledge and abilities.

  Minimum of 3 years of Research Administration experience and Pre and/or Post Award Grant Administration Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  Effective and professional oral and written communication skills.

  Demonstrates ability to set priorities and deal effectively with interruptions and rapidly changing priorities.

  Skill working with Microsoft Suite of products Word, Excel, Outlook.

  Strong working knowledge of Adobe Acrobat Pro. DESIRED QUALIFICATIONS

  Familiarity with University of Washington research and financial systems (Workday)

  Familiarity with University of Washington resources, policies and procedures

  Experience with complex budgets and sub awards
