About the Work Unit: The Department of Physics and Astronomy at Vanderbilt University combines the friendly and supportive atmosphere of a liberal arts college with the excitement and challenge of forefront research. These research programs are at the cutting edge of traditional areas of physics as well as being a major contributor to contemporary interdisciplinary institutions and centers.
Duties and Responsibilities:
Generates, creates, and provides detailed and accurate monthly financial reports to department PIs including budget vs. actual expenses, forecasting, and burn rate calculations.
Participates in project financial planning meetings.
Serves as point of contact for department administrators regarding sponsored project financial information.
Routinely reviews project transactions to ensure compliance with sponsor and University guidelines.
Primarily independently responsible for monitoring, investigating & facilitating & coordinating corrective processes for sponsored fund transactions, set up, close out & reporting.
Processes retroactive cost transfers to remove non-compliant expenses from projects.
Monitors PI effort to ensure adherence to effort commitments and compiles requests for grant-funded summer salary.
Generates necessary documentation for Research Finance and CAS Research offices for financial closeout of awards.
Facilitates PI requests for no-cost extension.
Adjusts costing for grant-funded personnel as requested by department PIs.
Performs other duties as assigned.
Supervisory Relationships: This position does not have supervisory responsibilities but will serve as a process manager. This position reports administratively & functionally to the department Grants Manager.
Education and Certifications: A Bachelor’s degree from an accredited institution of higher education, or the equivalent in experience, is necessary.
Experience and Skills:
Two years of directly related experience is necessary.
Intermediate Excel skills are necessary.
Strong administrative support skills are necessary.
Excellent organizational and time management skills are necessary.
Excellent written and verbal skills are necessary.
Outstanding attention to detail is necessary.
Problem solving skills and ability to be flexible are necessary.
Previous experience with Oracle reporting strongly preferred.
