The University of Virginia Department of Neurology within the School of Medicine seeks to hire either a Grants and Contracts Administrator or Specialist, to perform sponsored proposal, award, and compliance activities supporting our research mission. This position will work closely with various stakeholders across the University and the School to provide high quality customer service for research faculty and staff. Designation as an administrator or a specialist will be dependent upon education and experience.
Grants and Contracts Administrators possess a comprehensive understanding of grants and contracts administration. Administrators are responsible for the processing of awards in the financial system and serve as a principal contact for internal and external subrecipients and sponsors.
Grants and Contracts Specialists perform pre-award, post-award or a combination of grants and contracts job duties in response to specific proposal guidelines or terms and conditions. They manage the submission process for grant proposals or the reconciliation and administration of the award, or both. In certain circumstances, Grants and Contracts Specialists may assume a range of other duties on behalf of their organization, however they are distinguished by their specialty knowledge of the grants process, and their participation in the administration of grant funding for the unit.
The preferred candidate will have strong listening and communication skills, be adept at learning new systems, and will grasp new concepts and processes easily and efficiently. The ability to work self-sufficiently on assigned tasks while still being an active and integral part of the Grants and Contracts team is a key component of the role. The selected applicant will work in a fast-paced, deadline driven environment with high volume, requiring excellent time management and organizational skills.
Responsibilities will include:
Planning and managing research awards from start to completion and manage project/contract to scope, schedule and budget.
Compile, analyze, and interpret complex data, provide technical analysis, financial guidance and projections.
Understand, interpret, and apply laws, rules, regulations, policies, procedures, contracts, budgets, and labor/management agreements. Analyze situations, identify problems, and recommend solutions specifically the interpretation of funding agency regulations and requirements.
Prepare and manage numerous proposal submissions, including filling out forms, preparing letters, uploading proposal documents into sponsor portals, mailing proposal hardcopies, and interpreting guidelines for the Principal Investigator.
Create monthly account reconciliations for multiple awards, handle labor scheduling, process vendor invoices for multiple awards, and perform cost transfers.
Prepare funding reports, final invention statements, and progress reports and provide guidance to researchers completing grant applications.
Assist with the preparation of budgets, budget justifications, revisions, monitoring, identifying budget resources, and authorizing grants and contract accounting.
Approve purchases and expenditures or maintain and reconcile accounting records.
Ensure compliance with terms and conditions of contracts relating to effort reporting, expenditures, and personnel actions.
Provide information on policy and procedure interpretation, new regulations, and new processes to faculty, staff, and external sponsors.
Negotiate successful resolutions to various situations while demonstrating a high level of attention to detail.

MINIMUM REQUIREMENTS
Grants Administrator Minimum Requirements:
Education: Bachelor's degree
Experience: At least three years of research administration experience. Four additional years of experience may be accepted in lieu of degree.
Licensure: Certified Research Administrator (CRA) certification is preferred.
Grants Specialist Minimum Requirements:
Education: Associate's degree
Experience: At least two years of grant and contract experience. Two additional years of experience may be accepted in lieu of degree.
Licensure: None
This is a Hybrid opportunity, with an in-person schedule to be determined with the hiring manager.
