The responsibilities of this role include monitoring the fiscal activities, preparing budgets, managing audits, and generating financial reports. The Administrator will also provide direct supervision and training to Finance Administrative Assistants, who are based in Pike St, WBC, and KCS locations.This position is full-time, exempt, and located in Seattle, Washington.Pay rate: $90,000/yearDuties & ResponsibilitiesContract ManagementEnsure clear organization and filing of all executed contracts, so that current copies are readilyWorks with funders on Contract budgets and Compliance, support and coordinate grant applications, internal controls, review of contract provisions, on-going performance management and establishment of a continual improvementMaintain consistent and positive engagement with funder organizations to ensure funding identification grant applications, budget development, contract review, contract execution, and programWork in coordination with Directors and Program Mangers on Program implementation of new project/program and coordination of current programs to ensure maximization of productivity, including assigning and tracking monthly and annual spending budgets for managers/supervisors.Review programs with program managers to assure contracts stay in compliancePrepares financial or budget reports monthly, quarterly, semiannual and or annually.Creates grant and contract invoicing. Monitors paperwork and other related documents connected to grantsMonitor program outcomes to assure contracts are on track to meet outcomes. Ensures contract compliance using HMIS to monitor required mandatory program outcomes from the grantingWork with Social Services Accountant to monitor financial status by tracking and analyzing current revenues and expenses, projecting the effect of modifications to agreements using computerResponsible for accurate processing and overseeing all contract related AP/AR.Prepare general correspondence as needed and orProcesses all contracts in TSAMM for divisionalAssists DHQ Finance with information for organizational grants & contracts for all SSSFinance ManagementPrepares annual budgets in coordination with Directors and Divisional Headquarter Finance Department.Responsible for all Audit preparation and review coordinationReview and consult with Director(s) on monthly financials. Using approved financials and most up to date draft information using Vivid reporting systemCreates and updates Program budgets for Program Managers to operate their programsCompile and distribute monthly finance reports for Program Managers and provide consult and guidance in departmental budgetMonitor and reconcile GL accounts monthlyResponsible for site audits of inventory
