The Department of Bioengineering in The Grainger College of Engineeringseeks applicants for a Graduate Programs Coordinator and AcademicAdviser position. Reporting to the Associate Director of Operations andthe Associate Head for Graduate Programs, the Graduate ProgramsCoordinator and Academic Adviser manages the administration andoperation of the MS and Ph.D. programs within the Department ofBioengineering, is responsible for the programs\' recruitment,admissions, administration, and projects, and provides academic advisingto support the personal, academic, and professional development ofBioengineering students within these programs.
Duties and Responsibilities:
Advising
Serve as the staff advisor and primary contact for graduate studentsduring their academic career. Track progress and provide communicationand guidance on course selection, registration, and related policies;explain and illustrate registration procedures. Approve student changesto academic status (petitions, withdrawals, course changes). Certifygraduate degrees. Maintain all graduate student records online using theGraduate Records application in the Engineering Portal.
Perform degree audits, thesis reviews, petition submissions, coordinategraduate student annual reviews, and coordinate qualifying, preliminaryand final examination processes. Process requests for all preliminaryand final exams through Graduate College (Thesis Office) and provideapproved exam paperwork to students.
Serve as a liaison to ISSS regarding CPT/OPT applications and visarenewals.
Serve as a liaison to campus units responsible for English proficiencyexams (EPI, EPT).
Anticipate and take initiative in discovering and resolving graduatestudent problems in consultation with the appropriate faculty member(s).
Recruiting & Admissions
Process graduate student applications promptly for admission to theUniversity. Follow up with applicants on missing items, receipt ofrequired documentation, and admission decisions.
Match applicant qualifications to fellowship opportunities, assist infellowship applications for new and continuing graduate students, andprepare required documentation for the Graduate College.
Manage the graduate student research/teaching assistant selectionprocess and prepare decision correspondence.
Organize new student orientation for graduate students.
Lead recruitment efforts, collaborating with campus and GraingerEngineering to attract and diversify underrepresented groups inBioengineering at multiple levels. Collaborate with the department\'smarketing and communications contact to create and distribute diverserecruitment materials, aiming to attract high-quality graduate studentprospects. Plan and execute graduate recruiting visits for thedepartment. This includes working with support personnel to developitineraries, schedule meetings and arrange travel.
Support and conduct recruiting events for high-quality targetedapplicants, responding to inquiries, and assisting candidates as needed.This includes preparing for and attending graduate school fairs, annualconferences, and other events that may be appropriate for recruitingwell-qualified students into the program.
Program Administration
Act as administrative liaison for the Associate Head of GraduatePrograms, the Graduate Executive Committee, and the Graduate AdmissionsCommittee, including organizing, scheduling, and facilitating regularmeetings as well as documenting meeting minutes and distributing in atimely manner to the committee members and othe appropriate parties.
Assist with program assessment, evaluation and analysis of overalleffectiveness, including the collection and interpretation ofstatistical data on admissions, students, and graduation. Communicateapplication and admissions data to the Associate Director of Operationson a regular basis. Create reports and presentations in collaborationwith the Associate Head and Department Head.
Coordinate the Annual Research Symposium and department awards forgraduate students.
Actively seek out opportunities for and assist with nomination packageprocedures and communicate information and deadlines to students forCollege, University, and external organization awards.
Monitor graduate program expenses against the Bioengineering GraduatePrograms budget.
Develop and implement programming relevant to graduate students thatprovides professional development and/or opportunities for them tointeract with other graduate students, faculty and representatives fromindustry and academia.
