Role: Bookkeeper/Payroll Specialist

Our client based in Palo Alto is seeking a detail-oriented and organized Bookkeeper/Payroll Specialist to join their team. In this dual role, you will be responsible for maintaining accurate financial records, processing payroll for 11 non-exempt employees, and assisting in the preparation for month-end and year-end closing. The ideal candidate will have strong accounting skills, proficiency in Intuit and QuickBooks Desktop, and excellent attention to detail.

Key Responsibilities:

Bookkeeping:

Maintain accurate financial records, including accounts payable.

Help prepare for month-end and year-end financial closings.

Generate and distribute 65 owner statements monthly.

Use FCMS for scheduling, FBO for billing, and EBIS for inventory and billing, including purchase orders.

Reconcile accounts and assist with financial reporting.

Payroll Processing:

Process bi-weekly payroll for 11 non-exempt employees using Intuit Payroll.

Ensure compliance with federal, state, and local payroll regulations.

Maintain accurate employee records, including tax forms and benefits information.

Respond to employee inquiries regarding payroll and benefits.

Client Interaction:

Collaborate with front desk and maintenance staff to provide excellent client service.

Requirements

Qualifications:

Bachelor’s degree in Accounting, Finance, or a related field (preferred).

Proven experience as a bookkeeper/ payroll specialist.

Proficiency in Intuit and QuickBooks Desktop.

Strong understanding of accounting principles and payroll regulations.

Excellent organizational skills and attention to detail.

Ability to handle sensitive information with confidentiality.

Strong communication and interpersonal skills.

Preferred Skills:

Experience with scheduling and billing software (FCMS, FBO, EBIS).

Knowledge of tax regulations related to payroll and employee benefits.

Certification (e.g., Certified Bookkeeper, Payroll Professional) is a plus.

Start in a 5-day onsite role until fully operational
