  Supervising and leading work of support staff, overseeing the clinical administrative support services for department. Planning, prioritizing and delegating work assignments and monitoring performance, providing feedback and guidance as needed. Recommending, implementing and maintaining interoffice systems/policies and procedures; and assisting in development and implementation of departmental administrative policies and procedures. Training and orienting new personnel and communicating changes in hospital and departmental policies and procedures.

  Monitoring clinic activity to ensure the best possible patient experience. Assisting the staff with resolving customer service and scheduling issues. Responding to patient’s concerns and needs, offering the best possible appointment options and resolution. Responding to situations requiring escalated service response.

  Monitoring and maintaining department electronic and paper recordkeeping systems, including highly sensitive/critical administrative and financial data and employee information. Overseeing input of information into computer databases and spreadsheets, monitoring data validity and compiling, printing and distributing periodic reports and other information as needed. Evaluating, recommending and implementing changes or upgrades in systems as appropriate. Serving as a Super User for clinical floor and participating in Joint Commission/Environment of Care preparations and rounds.

  Collecting and compiling data from diverse sources, performing calculations, creating spreadsheets, graphs and charts, preparing analyses for supervisor's review and performing other related duties as assigned.

  Organizing and maintaining daily administrative operations of department. Preparing, verifying and monitoring departmental payroll and maintaining related records. Preparing periodic reports and documents to comply with hospital, governmental, regulatory and/or funding agency requirements, according to established schedules. Monitors employee review dates, terminations and other personnel actions and initiates required forms and documents. Initiates, routes and tracking administrative forms such as purchase orders and payments.

  Monitoring and maintaining department supply inventory and computer equipment. Purchasing standard departmental supplies and equipment repair services within established budget allocations. Evaluating and recommending purchase of equipment and non routine supplies. Serving as liaison to support service departments to request and coordinate provision of needed services.

  To qualify, you must have:

  The level of knowledge typically acquired through completion of two years of occupationally specific education or an Associate's degree in business or a closely related field and three to four years of previous experience.

  The analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.

  The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.

  Strong organizational skills to be able to multi-task in a high volume practice.
