Title: FACILITIES ASSISTANT (FLEX) Location: United States-Tennessee-Millington Job Number: 2400029G JOB SUMMARY Responsible for preparing and maintaining a variety of reports, databases, project and departmental budgets) Duties and Responsibilities - Manages all expenses for the department, including preparing monthly reports and follow-up with various departments when necessary. - Maintains minor project budgets, including monitoring of expenses against the project. Interfaces with Financial Department on project accounting issues to include data input, report preparation and problem solving. Inputs project status reports to maintain completion levels of projects. - Maintains financial and information databases in several computer systems, including PICK, LAWSON, LOTUS, etc. Develops and compiles various reports which best reflect information requested. - In conjunction with the Program Analyst, develops and maintains the department Intranet website. - Controls/monitors the status of architectural/engineering projects by extracting specific data status reports submitted using established guidelines and procedures. Knowledge of architectural/engineering terminology and procedures are utilized in completing tasks. - Prepares funding letters, cancellations and routine correspondence, ensuring compliance with applicable instructions and directives. Processes bills when necessary. - Provides a variety of clerical and administrative support duties, including but not limited to Naval messages, travel orders, conference/meetings, spreadsheets, memos and correspondence and filing. - Arranges appointments and travel accommodations. Answers telephone and provides routine information when possible. - Acts as back-up for Program Analyst in absence of incumbent. - Acts as Director's secretary in absence of incumbent. - Works under the general supervision of the Planning and Programming Branch Manager, exercising independence and judgment based on intimate knowledge of established procedures.
