U of M Benefits: Full University of Minnesota Reports To:Regional Director Apply By:January 29, 2024 ABOUT THIS POSITION This is a vital administrative support position that is key to the daily program and administrative office operations of the Extension Regional Office; which supports regional and statewide program delivery. They interact frequently and collaboratively with other Extension regional and county office staff located across the region and state. Job Duties and Responsibilities: 4-H Program Support 50% Use 4-H database software (4-HOnline and FairEntry) to ensure accurate and timely reporting of group participation and serve as a 4-H database contact for local staff by assisting local staff with: Assist in coordination and registration for regional and state events Support regional extension educator and local staff in chartering process Support statewide programs and work teams as assigned Other related duties as assigned Human Resources Support 40% Update hiring packet and process documentation and coordinating effort with hiring manager and Extension HR Work with Search Committee Chair/Hiring Authority to finalize and post advertisements, manage applications, communicate with candidates, coordinate interviews (catering, expense reimbursements, and travel/lodging, etc.), and support interview day Work within an automated online system (HAT: hiring authorization tracking) to start the process for employment changes to positions. Follow up throughout the search process (application, interview details, candidate status, etc) Serve as the point of contact and liaison for hiring paperwork and processes Provide backup to other staff and assist as needed with other search and hiring efforts and process General Office Support & Back up 10% Greet walk-in traffic and fields phone calls and online communication Schedule/maintain schedule for office meeting rooms and public access to technology Maintain filing system for historical records and disposal; federal civil rights; etc. Provide back up support when needed Maintain equipment inventory; equipment loaner inventory; office equipment/technology maintenance Orient new and existing employees on office hardware Provide back up support when needed Qualifications Required Qualifications: Four years of related experience in an office setting and/or a combination of experience and post high school education and/or training to include: Advanced experience with Microsoft (Word, Excel, etc.) and Google Suite applications (Google Docs and sheets, google share drives, etc.) and internet browsers and searches Experience formatting, drafting or writing routine to complex correspondence, reports, and meeting materials Ability to work in, and with, diverse groups and underrepresented populations and communities Skilled at working with details, managing work flow and meeting deadlines. Deals well with multiple, competing demands. Ability to perform tasks involving prolonged sitting, standing, keyboarding, reading computer screen; and bending, or twisting, with occasional exertion (lifting, carrying, pushing, pulling) of up to thirty pounds of force. Additional Requirement: Must have reliable internet if/when working outside of assigned office location. Must be able to work regularly at a dedicated/assigned Extension Office.
