Job Summary
This Program Coordinator position is to work as a team member with allExtension staff in responding to local requests for information andassisting with program delivery support. This person will also work withthe Congolese population of youth and parents at Unity who speak French.This constitutes 75% of the Unity youth.
4-H after School Duties
Identifies critical priority needs and issues, with the assistance ofother staff, to be addressed through 4-H programs.
Facilitates the planning of educational activities in an assigned areain conjunction with other staff and volunteers at Unity CommunityCenter:
Supervise youth tasks and assist in behavior management during programsand homework time
Ensure students are signed in accurately.
Ensure the safety and security of the facility
Greet all guests at the door
Report facility issues to the Business Manager, Office SupportSpecialist, and County Director if unable to resolve the issue.
Direct volunteer tasks and monitor volunteer behavior as needed
Facilitate and assist in the academic support program and enrichmentprograms
Assist in facility maintenance: vacuuming, sweeping, mopping, garbage,bathrooms, dishes, sanitization as needed.
Assist Educator in preparing lessons and activities for nightlyprogramming slots as needed
Assist Educator in the development of behavior intervention structuresas needed
Collaborate with colleagues to ensure coverage of youth in the libraryand adults at the entrance
Communicate with parents on upcoming events, student behavior issues,etc.
Track behavior, attendance, and late pick-up on tracking sheets, asneeded.
Provide constructive feedback to volunteers and program leaders for moreeffective leadership.
Monitor K-5 and Teen Academics
Contact schools/teachers as needed
Registration Coordination
Assembles registration materials for youth and trains other staff on theregistration process
Tracks youth registration through completion (including tracking missinginformation, and entering youth into a web-based 4-H system)
Creates a student roster with all data gathered at registration
Ensures proper filing of youth registration folders, as well as thetimely destruction of documents.
Create student sign-in documents
Tracks student attendance and behavior
Report youth attendance data in monthly reports
Family Communications
Responsible for parent and family communications
Market relevant upcoming activities to families.
Parent meetings: Scheduling, booking presentations as applicable,coordinati g with Enrichment Program to link parent meetings and youthprograms, etc.
Assists in conducting surveys and investigations of the needs of theindividuals to be served.
Food and Sanitation:
Enrichment Program Coordination
Finding programs to fill designated spots on a nightly basis
Contact person for all enrichment programs (Master Gardeners, Spanish,music, pen-pals, etc.)
Facilitate nightly enrichment programs and communicate any needs tostaff
Provide constructive feedback to program leaders
Solicit feedback from program-leaders
Collaborate with Educator for teen enrichment programming
Coordinate teen social activities/events
Collaborate with parents and youth on program offerings
Obtain and maintain a food service handler\'s certification; assurecompliance with McLean County Health Department food permit rules andregulations, and training of volunteers on Unity food service policiesand procedures.
Coordinates snack helpers; recruiting and leading snack helpers.
Order cleaning and hygiene supplies and maintains chemical logs
Coordinates summer lunch program.
Coordinates Midwest Food Bank transportation and food boxes.
Data Reporting
Assists the 4-H YD Educator in evaluating program activities, developingimpact statements, and recommending continuation, modification, ordiscontinuance of the program.
