Organizational Overview:The State Preservation Board (SPB) was established for the purpose of preserving, maintaining, and restoring the State Capitol and the 1857 General Land Office, which houses the Capitol Visitors Center. Since that time, the operations have expanded to include: maintenance of the Governor's Mansion, operating the Bullock Texas State History Museum and the Texas State Cemetery. The SPB provides educational programs centered on Texas history, government and culture for the benefit of the citizens of Texas and its visitors. Position SummaryThis position serves as the Executive Assistant to the Executive Director and provides advanced administrative support to the Executive team as well as coordinates administrative and technical assistance for the agencys Executive Director, including coordinating meetings and other events and activities, and the coordination of logistical arrangements and support. This position also manages calendars so meetings, travel and appointments are scheduled to avoid conflicts. Works under minimal supervision, with extensive latitude for the use of initiative and independent judgment.
Handles confidential and sensitive information and may correspond with executives at other state agencies, members of the state Legislature, or other high-level contacts.Works with legislative offices and staff on projects and to plan and schedule internal and external meetings. Interacts with the governing boards of the State Preservation Board and the Texas State Cemetery. Prepares, reviews, and finalizes notices, agendas, and handouts for distribution and posting with the Texas Register. Prepares and completes minutes for the open meetings and hearings as directed.Plans and coordinates special assignments and administrative programs, including, several staff service functions such as service awards, personnel administration, agency phones and building and property/asset management.Drafts, reviews, and edits agency correspondence, documentation and publications. Coordinates routing, and publication of internal and external reports.Develops and revises administrative policies, procedures, standards, and methods, and provides guidance and interpretation on policies and procedures. Assists with analyzing internal processes and recommends procedural or policy changes to improve processes.Requisitions and orders good and services in accordance purchasing policies and laws. Prepares and reviews purchase orders for Executive Division or others as requested.Assists the Director of Special Projects on processes, purchases, payments to project vendors, and additional projects as needed.Coordinates agency travel and procurement cards, books travel and files expense reports. Manages travel itineraries, coordinates travel, and completes travel requests for staff.Manages the Capitol Access Program with internal staff and DPS. Processes all requests from state agencies and assists with SPB agency contractors for access to the Capitol building.May oversee the work of others.

Preferred Qualifications:Experience providing daily administrative support to the Governor, Lieutenant Governor, Speaker of the House, or another Elected Official in Texas State government.
