The Executive Assistant, Senior position performs various advancedoffice/administrative support duties for a primary designated functionalarea of the Office of Native American Initiatives (ONAI) and providesadministrative support for the Vice President, Native American CulturalCenter (NACC) Director, and staff of that functional area. Position willbe supervised by NACC director. This position uses specializedfunctional knowledge to analyze and respond to administrative matterswithin established limits to meet department needs and follow Universityprocedures and policies. As part of the administrative support team forthe full department, the Executive Assistant, Sr. helps to support andencourage Indigenous Students and the department in advancing ourmission and core values of Relationships, Responsibility, Respect, andResilience.
Administrative Support - 55%
Manages the Vice President of Native American Initiatives calendarmeetings, correspondence, and duties assigned.Manages inventory and places orders for office supplies andequipment - including the NACC Food Security Program.Oversees and coordinates operations of the front desk area.Maintains department contact lists and distributes them accordingly.Assists with complex travel arrangements for the vice president byadhering to and staying informed of university policies andprocedures and PCard reconciliation.Processes and tracks all financial or personnel forms and providesappropriate follow-up regarding their status for the unit.Prepares agendas and background materials and takes notes for allmeetings led by the Vice President of Native American Initiatives.Accounting/Budget Management - 15%
Monitors or overseas all account expenditures; Maintains andreconciles detailed budgets for various accounts.Provides a monthly report to vice president, associate vicepresident, NACC director and Fund Development director.Assists with meetings with President\'s office regarding budgetmanagement.Advises and or determines which expenditures are within the budgetguidelines. Informs management of irregularities and processes withcorrective action and consultation with appropriate offices andsupervises daily processing of various forms using PeopleSoftsystem: RQ\'s, RBC, IDT, expense reports, and others as needed.Ensures these reports are accurate and filed with appropriatedocumentation. Keeps detailed and accurate records of all forms andfinancial processes completed.Trains staff on new policies and guidelines.Supervision and Management - 10%
Assists NACC director in overseeing and coordinating the day-to-dayactivities of the office stude t staff to include scheduling andprioritizing work assignments and implementation of effectivepolicies, processes, and procedures.Assists NACC director with daily operations of the Native AmericanCultural Center.Set up audio visual equipment, laptop, Zoom, tables etcetera takedown disinfection of tables equipment and room reset.Assists in completion of inventory of food security program.Assists in coordination with NAU catering for events.Policies and Procedures - 10%
Aids in the understanding and interpretation of University policiesand procedures, ensures that the office operations are in compliancewith policy provisions and standards, coordinates business affairsand interprets policies and procedures.Organizational Skills - 5%
Executes appropriate follow-through on meetings as necessary,including meetings notes and minutes.Organizes and maintains all files and records for the Director ofthe Native American Cultural Center.Maintains oversight on all division Human Resources issues anddevelops monthly report on status.Other - 5%
Performs other duties as assigned.Assists with division needs as assigned.Minimum Qualifications
Bachelors degree.
3-5 years of relevant experience.\<
