  Location: AVEVA Office

  Work Style: hybrid (4-3 times a week working at the office)

  Reporting Line: Head of Japan

  Job Description:

  Executive Assistant / Sales Support Team Lead, Japan​ covers such as:

  1) Sales assistant roles to support head of Japan

  2) Supporting several tasks for visitors

  3) Manage/supervise Sales Support team

  1) Support Head of Japan​

  Expense report via Concur/Booking flight via ATPI (Tobu Top Tours)

  Booking hotel via ATPI (Tobu Top Tours)

  Arranging/adjusting internal meetings

  Arranging external executive meetings with CXO level​.

  Looking for some restaurants for customer executive entertainment.​

  2) Support visitors​

  Visa acquisition letter/Hotel arrangement (Communication with other executive assistants)

  Transportation (Hire/Taxi) arrangement (Airport-hotel/Office or customer visit)

  Flight arrangement (According to customer visit location, date and etc)

  Booking restaurant according visitor’s preference/ order lunch box

  Preparing Entrance security cards for visitors/Booking desk and meeting room for visitors​.

  3) Lead Sales Support team (4 HCs)​​

  Quarterly Check-in/regular 1on1 conversations

  Approval expense via Concur /attendance & leaves etc. by Workday

  Support their engagement/career development/ well-being etc.

  Communicate and resolve issues regarding sales administrative work together with Head of Japan and respective stakeholders.​

  Essential:

  Administrative assistant/Sales administration type of experience/ MS Office 365 / web portal (Oracle/Concur

  Business reading & writing for Japanese/English.

  Personal Skills:

  People management experience (2- 4 members)

  Talent for quickly learning new tasks

  Excellent communication skills with various type of stakeholders domestic/overseas

  Excellent task management skills with a proven ability to meet established deadlines.

  Ability to multi-task with a strong drive for results.

  Ability to work calmly under pressure with strong problem-solving skills
