About Executive Assistant, Program Management Office [PMO], Finance Operations Services

  Description

  Finance Operations Services is seeking a motivated, proactive individual to join our organization, supporting the Director of Global Finance Operations Services, PMO [Program Management Office], and an additional Director(s) as needed. This role requires experience with heavy calendaring, attention to detail, solid organizational skills, and the ability to prioritize multiple requests.

  The candidate must demonstrate the ability to effectively problem-solve, proactively anticipate and respond while maintaining flexibility and composure. We are seeking a resourceful, forward-thinking individual with a history of performing exceptionally in an ambiguous environment. A proven track record of effective time management, taking initiative, working independently, delivering exceptional results and exceeding expectations is important. We are looking for someone who learns quickly, is self-driven and adapts to changing circumstances with grace and a sense of humor.

  Key job responsibilities

  Management of complex calendars and scheduling with diplomacy and discretion

  Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner

  Management of team space, including moves and reconfiguration

  Track and help drive completion of key actions and follow-up on outstanding items (including meeting notes and actions items)

  Manage expense report coordination and submission

  Organize, execute and assist with team activities, including townhall meetings and social events

  Work closely with the leadership team to provide support to the global organization

  Coordination and planning of domestic and international travel

  Have fun at work and help others do the same

  Act as a liaison for direct reports

  About the team

  The Finance Operations Program Management Office (FinOps PMO) leads delivery of cash collection and disbursement (AR, AP, Payroll) capabilities for new business and geographic expansions, compliance and strategic projects. We drive decision making on which projects and programs should be undertaken, and successfully deliver each project and program. We also provide organization-wide guidance, governance, standardized processes, and project & process portfolio management best practices, tools and techniques

  We are open to hiring candidates to work out of one of the following locations:

  Arlington, VA, USA

  Basic Qualifications

  3+ years of senior level leadership support, or 1+ years of Amazon experience

  High school or equivalent diploma

  Experience with Microsoft Office products and applications

  Experience with executive level calendar management

  Preferred Qualifications

  Experience in a fast-paced, high-tech company

  Experience managing multiple calendars
