The Executive Legal Assistant will provide administrative support to the Commercial Contracts & Business Transactions team within the Legal department. This role will be accountable for monitoring, responding to and distributing information to the appropriate internal and external parties, and such information may contain confidential legal and/or billing matters. This role will also be responsible for contract administration (contract intake and assignment, contract status and reporting, and contract management), and will assist in document creation, formatting and drafting. This role will also manage calendars and ad-hoc office needs, book travel and/or organize events for multiple attorneys on the team. On an as-needed basis, this role will also support the Intellectual Property & Brand Protection team within the Legal department by performing similar responsibilities.
Responsibilities
Edit, format and draft various documents as requested by attorneys on the team
Manage the daily contract intake and assignment process for the team and track the status of all contracts from start to finish through reporting and updates (including tracking via the legal department’s matter management system)
Monitor and manage dedicated email inbox and field contracts-related questions and requests from business partners
Track critical dates, anticipate future needs, and coordinate next steps related to a variety of legal matters
Manages calendars, travel and expenses for multiple attorneys on the team
Review confidential legal materials and prepare summaries, charts, and presentations for reporting
Assist with law firm invoicing and provide assistance with law firm billing software as needed
Assist with reviewing correspondence from external parties and drafting the appropriate responses on a variety of legal matters
Prepare and provide agendas and supporting materials for upcoming meetings, including assistance with room set-up
Correspond with contacts at various law firms
Ensure timely flow of paperwork and projects by monitoring timelines and action items
Support additional administrative and office duties such as greeting visitors, maintaining office supplies, copying, mail services, handling messages, etc.
Provide supplemental and/or back-up support to other departmental Assistants as needed
Work within and train others on function-specific software, such as the legal contracts database, matter management database, etc.
Perform ad-hoc special projects as needed
Qualifications
Qualifications & Experience
5-10 years’ experience in an administrative support role in a law firm or supporting in-house counsel, focusing on contracts
Communicate in an effective and professional manner – both verbal and written – with the ability to create correspondence on behalf of attorneys
Excellent attention to detail and ability to anticipate future needs of the team and propose changes to processes
Effectively prioritize and categorize matters requiring immediate attention
Strong organizational skills on behalf of self and others
Execute tasks in a thorough and accurate manner in a fast-paced environment
Ability to work in a high-volume environment while exercising good judgement to make decisions independently and escalate matters as needed
Demonstrate flexibility and be a champion of change
Team player with the ability to develop and maintain positive working relationships with others
Conduct all work in an ethical, professional and confidential manner
Ability and willingness to take on additional responsibilities
Excellent computer skills with expertise in Microsoft Office applications including Word, Excel, PowerPoint and Outlook
Project management skills and experience
Experience in electronic file-keeping
Experience with calendar management
Education
Notary Public certification preferred
Paralegal degree and/or a degree in business or legal studies is a plus
